WALSH CONSTRUCTION is Hiring a Project Administrator Near Seattle, WA

As employees of WALSH Construction Co., we are builders. We are made up of a diverse group of individuals who are committed to building in the communities in which we live and work.

We are searching for our next Project Administrator. This position provides administrative support to Project Managers as well as managing project documentation while providing a high level of customer service to the project teams and our customers/clients. This position will also support Project Managers, Clients, Subcontractors and Government Agencies in matters related to prevailing wage requirements and certified payroll reporting.

A portion of the position responsibilities include:

  • Pre-Construction assistance during the bid process.
  • Secure insurance certificates and builders risk insurance quotes from the Risk Department.
  • Assist Marketing Department with RFP/RFQ preparation as needed.
  • Meet with Owner, Agency, and Project team to determine certified payroll reporting requirements.
  • Draft project-specific certified payroll packets communicating the requirements and process for the project for Subcontractors.
  • Complete project set-up and on-going project maintenance/updates in Viewpoint and RMS.
  • Create project files, organize and control job specific documents.
  • Maintain master project files.
  • Send letters of intent and process owner contracts.
  • Organize, prepare, submit and track subcontracts, supply agreements and subcontractor/supplier change orders.
  • Prints for submittal all Walsh Construction certified payroll reports and documents.
  • Order payment and performance bonds.
  • Assist with OCIP/CCIP enrollment paperwork.
  • Assist with HUD and LEED paperwork.
  • Obtain subcontractor certifications and compliance reports regarding apprenticeship, M/W/ESB and Section 3 programs.
  • Obtain, review for compliance, and submit subcontractor certified payroll reports and documentation.
  • Uploads and posts Owner Change orders/CIC’s.
  • Provide assistance with RFI and Submittal process.
  • Prepare AIA draw requests and invoices.
  • Assist with project closeout including collecting data and assembling the Operations and Maintenance Manuals for project owner.
  • Archive the project files in paper and electronic formats.
  • Draft, track, record, copy, file, transmit, and archive certified payroll documents as required.
  • File Washington State Intents and Affidavits.
  • Provides assistance to other Project Administrators as needed.
  • Assist with front desk coverage for Front Desk Coordinator’s breaks, lunches and vacations as needed.
  • Provide training and mentorship to new Project Administrators.
  • Provide general project clerical support.

You are qualified if:

  • You hold a high school diploma or equivalent. Associate degree preferred.
  • You have a minimum of two years of administrative experience, construction administrative experience preferred.
  • You have knowledge of Federal and State Prevailing Wage regulation, reporting requirements, and processes.
  • You are proficient with Excel, Word, and Outlook.
  • You have excellent customer service and communication (verbal and written) skills.
  • You are a positive team player with the ability to multi-task, stay organized and maintain a strong attention to detail.
  • You have the ability to work in a team environment and to perform independently while making good decisions.
  • You can demonstrate your ability to exercise discretion with confidential or sensitive information.

Salary range $84,000 to $88,000 annually.
