Position Summary

The Executive Administrative Assistant provides administrative support to the President/CEO and Executive Team with a high level of integrity, confidentiality, and sensitivity. This position requires the ability to solve problems, prioritize work assignments, and work well under pressure and deadlines. The candidate should be extroverted, proactive, and able to take initiative without being asked. They should be able to include themselves to get the job done efficiently. This position will interact with customers (internal and external), vendors, community leaders, outside agencies, the President/CEO, and members of the Board of Directors. It involves responding to and effectively managing many sensitive and confidential matters affecting the operations of the agency. This position involves interaction with the leadership team and thus requires additional mental efforts to perform the job satisfactorily.

Key Responsibilities

  • Understand and uphold the mission, core values, and guiding principles in all interactions with customers, donors, and team members, and promote the mission.
  • Participate in training and development opportunities to enhance job skills and knowledge.
  • Help maintain a safe and secure work environment by following safety guidelines and reporting any safety hazards.
  • Complete a variety of administrative tasks for the President/CEO and Executive Team.
  • Maintain all files necessary for the smooth operation of the President’s office, safeguarding all confidential and non-routine information.
  • Answer, screen, and direct telephone calls for the President/CEO, Executive Team, and support office as needed.
  • Utilize Outlook Calendar, this position maintains the calendar of the President as well as the calendar for the Board and Committees. Determines the scheduling of Executive Team meetings and other meetings as assigned.
  • Make travel and lodging arrangements for the Executive Team as requested.
  • Attend and notate meetings of the Board of Directors and Board Committees as required; distribute and maintain agendas, meeting schedules, meeting materials, committee reports, as well as meeting minutes.
  • Coordinate and schedule onboarding activities for new Board members.
  • Plan and implement special events relating to the Board of Directors and Executive Team.
  • Monitor the schedule book for the Board Room, Conference Rooms, Cafeteria/Dining Room, and Company Vehicles.
  • Coordinate rental of the Support Center Kitchen to outside entities.
  • Fulfill duties as Agency Notary.
  • Promote Goodwill in all activities; stay in touch with what is going on in all areas to keep the President/CEO informed.
  • Promote cooperation among the departments of the organization.
  • Must be able to understand and successfully apply the tenets of change management, including preparing for, implementing, and managing organizational change to transition individuals, teams, and organizations from a current state to a desired future state.
  • As required, act as team leader for task force ad hoc committees evaluating and implementing departmental improvements.
  • Market Goodwill by educating employees, vendors, customers, and the general public about Goodwill’s Mission.
  • Attend and participate in meetings and/or training as directed by the CEO.
  • Seek out opportunities to enhance personal, professional, and vocational development, including involvement in various leadership development opportunities offered within our agency.
  • Represent Goodwill professionally and positively.
  • Demonstrate the ability to treat others with dignity and respect.
  • Maintain a clean and safe work environment.
  • Communicate clearly and effectively.
  • This position requires a broad range of strategic and corporate management knowledge along with an understanding of the organization’s vision, mission, operations, and policies.
  • Possess a high level of administrative management experience, integrity, confidentiality, discretion, and technical skills.
  • Excellent oral, written, and computerized communication skills with excellent grammatical and written presentation skills with effective public speaking skills.
  • Strong interpersonal skills and the ability to effectively manage relationships with leadership team members, employees, board members, and the public.
  • Approachable and builds rapport easily and well. Can motivate many kinds of individuals and invites input while sharing ownership and recognition.
  • A good organizer who can multi-task and utilize resources to get the job done. Uses logic, honest analysis, and consultation with others to solve difficult problems with effective solutions.
  • Other duties within the scope of this position may be assigned.

Education and Experience Requirements

Bachelor’s degree in business, administration, management, or related field preferred. Two or more years of executive-level support experience is preferred. Must possess excellent computer skills to conduct and produce research. Be proficient in Microsoft Suite including creating spreadsheets, virtual meetings, and presentations. Must have a valid driver’s license and the ability to be insured on organization policy.
