Description

We are seeking a detail-oriented and analytical Billing Specialist to join our team. The ideal candidate will have strong communication and problem-solving skills, along with organizational abilities to manage tasks efficiently. Collaborating with cross-functional teams and ensuring compliance with billing standards and regulations are key aspects of this role. A solid understanding of billing processes, financial analysis, and relevant software systems is essential. Candidates with prior experience in billing, accounting, finance, or related roles are encouraged to apply.

SUMMARY

Responsible to ensure accurate and timely billing with a crucial role in managing customer invoicing, analyzing billing data, resolving billing discrepancies, and supporting financial operations within the organization. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Generate customer invoices based on sales orders, contracts, or other billing agreements. Ensure accuracy in billing information, including pricing, quantities, discounts, and taxes. Track and monitor payments received from customers and follow up on overdue or outstanding invoices. Collaborate with sales, customer service, manufacturing, and other departments to gather necessary information for billing.
  • Generate monthly customer statements. Analyze billing data to identify trends, patterns, and potential issues. Perform regular audits of billing records to ensure accuracy and compliance. Prepare reports and summaries of billing data, including aging reports, daily revenue analysis, and key performance indicators (KPIs).
  • Investigate and resolve billing discrepancies or disputes raised by customers or internal stakeholders. Collaborate with the appropriate teams, such as sales or customer service, to resolve billing issues promptly. Ensure proper documentation of billing adjustments, credits, and refunds as necessary.
  • Maintain accurate quarterly pricing information. Validate pricing accuracy against contracts, pricing agreements, and negotiated terms. Assist in the review and analysis of customer contracts to ensure billing accuracy.
  • Identify opportunities for automation, streamlining, and improving billing processes. Develop and implement best practices to enhance efficiency and accuracy in billing operations. Collaborate with cross-functional teams to automate billing processes and systems where applicable.
  • Ensure compliance with relevant accounting standards and regulations. Assist in the preparation of billing-related financial reports and documentation. Support internal and external audits by providing accurate billing data and documentation.

Requirements

EDUCATION

Must have an associate degree, bachelor’s degree or be currently enrolled in an associate’s or bachelor’s degree program in accounting, finance, business administration, or related field with 2-3 years accounting/finance experience to be considered. Proficiency in using billing software/systems and Microsoft Excel. Knowledge of billing principles, pricing structures, and contract management and familiarity with ERP systems is essential.
