POSITION TITLE: Accounts Payable AssociateREPORTS TO: Nursing Home AdministratorDEPARTMENT: AdministrationThe primary responsibility of your job position is to administer and perform, process and maintain accounts payable. Providing this service in an effective and efficient manner will ensure that municipal finances are accurate and up to date, and vendors and suppliers are paid within established time limits. Also responsible for providing financial and administrative support in order to ensure effective, efficient and accurate financial and administrative operations following the current federal, state and local standards, guidelines and regulations that govern long term care and assisted living facilities. You are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.KEY RESPONSIBILITIES:Accounts PayableReceive and verify invoices for goods and servicesVerify that transactions comply with financial policies and proceduresObtain and maintain vendor W-9 files Prepare and submit 1099’s annuallyOversight of spend down sheets with PPD's (Per Patient Day)Prepare batches of invoices for data entryReview invoice coding for accuracy and compliance with cost report guidelinesProcess and verify payment of invoices on a timely basisReconcile vendor statements monthlyManage monthly vendor paymentsMaintain check register dailyPrepare manual checks as and when requiredMaintain vendor files - alphabetically, by yearPrint and distribute monthly Accounts Payable reports as requiredCommunicate with outside vendors, department managers, and corporate accountantsReconcile bank statements monthlyPrepare Sales and Use Tax returns for City, County and StateProvide oversight, reconciliation, and replenishment of Operating Petty CashMaintain and support a culture of compliance, ethics and integrityMaintain confidentiality and rights of resident, family, employee, and facility information in compliance with PHI HIPAA policies and applicable regulationsMaintain safe work environment and exhibits safe work practices Complete special projects as assignedCross-train Business Office Manager dutiesSupplement business office with internal controls, including but not limited to, physically making bank deposits and posting cash receiptsPerform all other duties, as assignedEDUCATION/EXPERIENCE/JOB TRAININGMust possess, as a minimum, a high school diploma or its equivalent.
