Position Title: Executive Assistant
Position a member of: Implementation and Administrative Leadership Teams
Position relates to: Senior Pastor, Associate Ministers, Worship and Family Ministry Directors, Business Administrator, Worship Director, Creative Director and selected staff and laity leadership.
Position Overview:
This position is responsible for the administrative support requirements of First Grapevine’s pastoral, financial and operations leadership and their related programs, ministries and missions.
Essential Job functions/responsibilities include:
· Gathering and maintaining congregational care information (prayer list, emergent care list, deaths, births, weddings, religious events - baptism, confirmations, membership etc.) and works with Admin. Asst.- Membership to ensure membership database is maintained (requires high degree of confidentiality),
· Developing a deep understanding of First Grapevine’s programs, ministries and missions,
· Acting as a contact for laity questions and guidance related to First Grapevine clergy, staff, programs, ministries, and missions,
· Assist with the development (recruiting, training, oversight) of ministry volunteers,
· Serve as a backup administrator of the Church calendaring and collaboration systems (i.e., Service U/ShelbyNext and Zoom) led by the Facilities Director and supported by volunteers,
· Be a power user of the Church Management System (ShelbyNext),
· Assisting other staff with the administration of the Ministry Safe program including compliance assurance,
· Managing the calendars of senior pastor, associate pastors, business administrator, and facilities, as well as awareness of production calendars,
· Creating the weekly “Monday Morning FYI” schedule update and
· Ensuring effective support of family ministry programs, ministries, and missions.

Qualifications
· Bachelor’s degree is preferred,
· A minimum of 3 to 5 years’ experience in administrative management is required,
· Prior experience in faith-based ministry or non-profit service is preferred,
· Proficiency in Microsoft Office (MS365) including Word, PowerPoint, Excel, Publisher, Outlook, SharePoint and Teams
· Excellent verbal and written communication skills with advanced relationship skills required,
· Must be detail-oriented, organized, creative, with the ability to multi-task, and
· Must be able to collaborate in a team environment.
Work Environment
The work environment is a professional office arrangement. As a church, it is important to convey a serving attitude and accommodating spirit to our members, guests and other people who interact with the church. This is a full-time position. Primary work week is Monday through Friday with some flexibility between the Church office and working from home.
