OFFICE/HUMAN RESOURCES ADMINISTRATOR

Verbatim Americas LLC seeks an OFFICE/HUMAN RESOURCES ADMINISTRATOR to provide administrative and project management support to Senior Manager, Human Resources, the senior executive staff and the President. This person will also assist with facilities-related issues and maintain the legal documentation process.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Provides general administrative support such as preparing correspondence, forms and reports, arranging meetings, processing confidential reports and documents and tracking deadlines, and sorting and distributing mail and packages to staff.
  • Establishes and maintains confidential personnel, employee and recruitment records, files, correspondence, reports and organizational charts.
  • Greets visitors in person and on the telephone, providing general information, answering questions, and directing individuals to appropriate party as necessary. Responsible for supplying security badges if needed.
  • Prepares and posts job advertisements, screens applications, arranges interviews and participates in the selection process.
  • Assists in the training and orientation of new hires.
  • Assists with benefits processes such as open enrollment; collects pertinent information to changing benefit plans and collects enrollment/change forms from employees. Maintains benefit information and assists employees with benefit questions or concerns.
  • Assists with sensitive and confidential matters like employee relations and organizational changes; planning and protecting the security of information, data and files.
  • Maintains current and complete understanding of Federal and State laws including case law and regulations such as Title VII of the Civil Rights Act, FLSA, ADA, FMLA, ADEA, and state laws.
  • Responsible for employee appraisal documentation and the timely return of those documents by all employees.
  • Compiles necessary Affirmative Action documents and other compliance documentation.
  • Researches and prepares DE&I initiatives for distribution to staff.
  • Handles office maintenance issues as they arise (ex. Lighting, printer needs). Maintains breakroom and obtains supplies as needed.
  • Coordinates and purchases gifts to staff for holidays, work anniversary, employee appreciation, etc.
  • Coordinates staff celebrations and purchases all supplies. Responsible for setting up and putting away all decorations, food, or other supplies.
  • Prepares payroll documents for new hires, employee changes, promotions, terminations.

Education and/or Experience:

  • Bachelor's degree in Human Resource Management, Business or other related field. Significant related experience may substitute education. Minimum of 1 to 3 years of related human resources/administrative experience.
  • Ability to handle sensitive information and uphold confidentiality.
  • Excellent attention to detail and organizational skills.
  • Ability to take initiative and work in a fast paced environment
  • Excellent written and verbal communication skills.
  • Must be proficient in MS Outlook, Word, Excel and Powerpoint.
  • Great planning, organizational and creative thinking skills.
  • Must be trustworthy and able to maintain confidentiality.
