Job Description: Currently offering a meaningful cash sign-on bonus upon hire! The Office Manager is a member of our dynamic, high-energy and high-integrity company, working in our Corporate office located in downtown Chicago. This highly productive professional will serve as an ambassador of the company and ensure the office administration and suite facilities are impeccably maintained and well organized. The Office Manager also collaborates with managers and executive assistants to ensure a cohesive delivery of our administrative, front office and facilities programs and services to the business. This is a great opportunity for someone who desires variety and working with a highly effective and collaborative team. ESSENTIAL FUNCTIONS Suite Management Serve as liaison to the building management office for security, shipping/receiving, safety, office equipment and suite management Manage third party vendor relationships and service agreements associated with suite management Review invoices (shipping, storage, suite preventative maintenance, etc.) for accuracy and consolidate/economize services as appropriate Ensure suite is in full working order by scheduling preventative maintenance of equipment (dishwashers, refrigerators, ice machines, coffee makers, carpeting, etc.) and submitting work orders to building management as needed Collaborate with HR and senior leaders on employee office and cubicle assignments to meet the needs of current employees and upcoming new hires (coordinate with IT, submit request for cleaning, update floor plan, etc.) Manage office/desk hoteling for visiting employees Communicate with key internal and external stakeholders regarding administrative services, special events, and building updates or relocations Create and adapt administrative, visitor and office facilities procedures and make improvements as deemed necessary Coordinate visitor suite access with building security and maintain visitor access cards Maintain an organized, professional office environment Serve as corporate office safety committee member and ensure AED machines are maintained Orders keys Office and Breakroom Supplies Purchase, stock and maintain office and breakroom supplies inventory in accordance with company purchasing policies and budgetary guidelines Ensure beverages and supplies are maintained in conference rooms and that conference rooms are kept neat and ready for guests; follow up as needed with administrative staff assigned for designated conference room support Office Administration Regularly update list of corporate executive assistant support based on new employees, terminations and transfers Organize and facilitate regular administrative support team meetings Order business cards Check and route voicemails from main Corporate automated phone routing system Sort incoming mail for distribution to each department; Coordinate shipping and receiving of packages Complete special projects and perform other duties as required REQUIREMENTS Experience: Minimum of 5 years office management experience, preferably in professional services, financial services or law firm environment. Thorough knowledge of office management and administrative practices and procedures. Successful track record of working independently with limited supervision and thriving in a dynamic, fast-paced and changing environment that is results oriented and collaborative. Proven ability to effectively support and communicate with top executives, internally and externally. Ability to lift up to 20 pounds (for office supplies), moderate amounts of lifting, bending, and using a step stool to reach office supplies Proficient in Excel, Word and Outlook COMPENSATION Competitive salary starting at $75K #LI-Hybrid Ventas, Inc. offers a competitive compensation and benefits package to the successful candidate.
