Description

The Office Associate Supervisor/Resource Center Manager is responsible for supporting the entire customer service, administrative, and production activities according to the contracted company policies and procedures. This individual will have 1 direct report, a Resource Center Associate.

This role is located onsite in Greenwood, IN at our client site.

Monday-Friday, standard office hours (no evenings or weekends)

What You'll Do

  • Ensure that Customer Care & FM Operations Manager is kept up to date on site activities – particularly those activities that may have an impact on the overall client relationship/expectations
  • Track site metrics, including number of jobs, mail runs, etc.
  • Organize his/her own work and resources systematically with a sense of objectives, practicing time management and the ability to prioritize so that efforts produce desired business results
  • Being proactive in seeking out opportunities to be helpful during idle time
  • Providing outstanding customer service to all you encounter
  • Follow dress code, attendance, and customer experience policies
  • Presentation of Quarterly Business Review for site customer
  • Attend and participate in site training
  • Determine employee workflow at site, delegating tasks to team members
  • Serves as subject matter expert for technical processes

Managerial:

  • Hiring and motivating your team
  • Performance management of employees
  • Coaching/feedback of employees
  • Provide structure to the team
  • Evaluate and update processes as needed
  • Document SOP’s
  • Site Billing

Production Center:

  • Operate high volume production equipment
  • Create and assemble booklets, manuals, stapled packets, marketing materials, and other print materials
  • Bulk mail runs (site dependent)
  • Conduct onsite & off-site mail runs (pick-up and delivery), which includes operating VAF company vehicles & customer vehicles (site dependent)
  • Triage issues with virtual meeting equipment
  • Refresh of meeting rooms
  • Mail- sometimes receiving pallets- different types of mail centers. Triage issues with virtual meeting equipment (Cummins).
  • Refresh the meeting rooms.
  • Trouble shoot print and copy equipment, escalating to a technician when needed

White Glove Service:

  • Conducting mail runs
  • Being proactive in seeking out opportunities to be helpful and provide great customer service
  • Provide administrative services as outlined in the Customer Scope of Work, including (but not limited to): a. Front Desk support, may include open & close responsibilities b. Answering phone s and managing email c. Greeting guests & customers d. Handling scanning projects e. Mail Services, including processing, pick-up and delivery f. Using production equipment to create booklets, documents, and other services as requested

What You'll Bring to the Role

  • High school diploma or equivalent
  • 3-5 years’ work experience in a customer facing role
  • Prior supervisory experience, required
  • Prior experience working in an administrative or production capability
  • Reliable transportation
  • A valid Indiana state driver’s license
  • Motor vehicle report (MVR) with clean driving history
