Vacation Property Gnomes is Hiring a Scheduling Associate/ Customer Service (FT) Near Fort Lauderdale, FL

The Scheduling Associate / Customer Service position is for immediate hire and is based in Wilton Manor/Fort Lauderdale.
A bit about us:
We are a family; a Gnome family! We started back in 2010 as a cleaning service and have since developed into a full property management service for the vacation rental market. We need your skills to expand into neighboring markets and become the only viable solution for our target clients - Owners with 5 properties looking to expand.
A bit about the job: 
As a Scheduler on VPG’s Operations team, you fulfill a critical role within the organization. You are the light in the room, without you everyone would be running blind. This role is responsible for scheduling all work produced by our front-line teams. 
Our Scheduler / Customer Service manages the master schedule, incoming requests, and communication from clients while coordinating communication between our service specialists. Planning and re-arranging as requests and new information as it comes in. It’s all about being able to multi-task while maintaining attention to detail. This position requires strong problem-solving skills along with an ability to prioritize multiple situations at a time so our teams are successful – we are all about teamwork here.
Job Responsibilities:
What You’ll Do:
  • Scheduling - Build the weekly schedules for service teams. Confirming daily work and communicating details. Routing the days for efficiency. 
  • CRM Maintenance - Adding new clients to the CRM and getting them set up with recurring services. Maintaining and updating existing client data records. 
  • Request Management - Monitor incoming client and tech requests, dispatch/schedule accordingly, and communicate updates to the Client Happiness Manager as they happen. 
  • Accounts Receivable - Preparing invoices for contracted services and adding additional expenses to the client accounts for the CFO to invoice clients. 
  • Contract Fulfillment - Scheduling additional services that have been contracted for beyond the scheduled arrival and departure cleanings/maintenance. 
  • Time Tracking Management - Generate end-of-week reports, and invoices, and verify timecards for accurate payroll and billing 
  • Have constant interaction with the teams and ops staff– staying in contact to monitor hourly progress
  • Advise Client Happiness Manager on the utilization of teams, resources, incoming requests, and troubleshooting.

Who You Are:
  • A strategic thinker who is action-oriented to get things done

  • Detailed with the ability to follow through and coordinate the actions of others
  • Able to act as a communication hub for a team of specialists in a clear and concise manner
  • Fluent in English, Portuguese/Spanish, and additional languages a plus 
  • Remote work optional
  • As a bonus, proficiency in Microsoft suite, Google Workspace, RingCentral (soft & Phone), Jobber, Keep, and ClickUp is preferred.

  • An Associate degree or equivalent is a must 
Key Performance Results:
You will be successful if all Company and Client scheduling needs are met, all incoming communication is received/replied/dispatched, and additional requests are billed and up to date. The calendar is and always needs to be the single source of truth for all activities performed by VPG, consider yourself the lynchpin to our entire operation. Without you, we cannot do what we do and make our clients happy. 
  • At the end of the day, the calendar is a complete and accurate reflection of the activity of the day, including client requests. 
  • All known requests, jobs, and services for the next 2 weeks are scheduled and assigned to a technician. 
  • Phones answered by the second ring. 
  • Requests are responded to by 5 PM or with a promise by date.
  • All client profiles are updated so that a new cleaner can "Complete a clean" with profile details 
  • All work performed is invoiced.
Compensation:
  • $38,000-$45,000 Annually
  • Full-time employee benefits package, including paid time off, insurance, and profit-sharing
