Responsibilities

Performs a variety of duties to support assigned health care professionals such as scheduling, handling phone calls, greeting customers, and correspondence; assists with special projects and management functions; perform highly diverse administrative and project focused duties; utilize proven skills in prioritizing and multi-tasking in a fast paced working environment; manages and prioritizes multiple assignments simultaneously and effectively such as, as acting as a liaison between internal and external customers by greeting customers, answer and triage phone calls; administers and coordinates calendar, schedules, and on call for medical oncologists; coordinates credentialing with appropriate department for physicians upon hire and when requested; completes and maintains hospital credentialing for medical oncologists; assists in onboarding of new medical oncologists; attends, prepares agenda, and takes minutes for monthly practice meetings for medical oncologists; generates minutes timely and sends out prior to meetings; composes and prepares a variety of correspondence (e.g. reports, forms, presentation materials, messages, etc.) as required; coordinates management functions and assists in special projects; perform highly diverse and complex administrative functions, including but not limited to proactive calendar management, domestic and international travel arrangements, ensuring manager’s meeting preparedness (e.g. assemble meeting materials & pre-reads), preparing expense reports; anticipate needs of manager, physicians, and/or team, and take appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet al deadlines; interface in a professional manner with senior executive and medical oncologists, handle confidential information with discretion and demonstrate diplomacy and excellent judgement in dealing with sensitive situations; prioritize activities and take action based on an understanding of departmental objectives and business needs; maintain and organize office operations and procedures such as filing system, expense reports as appropriate, purchase orders, office supply orders, and other administrative services; adhere to T&E policies, including booking international and domestic travel, reconcile business expenses for medical oncologists; prioritize and complete support requests in a timely manner (i.e. issues with IT, systems, facilities, etc.); maintains professional and technical knowledge by remaining current with USA-MCI continuous learning modules; additional coordination of activities and projects as needed; regular and prompt attendance; ability to work schedule as defined and overtime as required; related duties as required.

Qualifications

High school diploma or equivalent and five years of adminitrative or secretarial experience in a medical office. Bachelor's degree preferred and will substititue on a year-for0year basis for the required experience. Supervisory and oncology experience are preferred.
