Duties

  • Maintains inventory control, ensures adequate supplies are maintained within the divisions to support continuous RO operations, oversees receipt and distribution of supply orders.
  • Provides reproduction services for divisions through use of photocopy machine.
  • Reproduces and makes initial distribution to divisions of regulations, circulars, forms, and other correspondence transmitted to the Publications Control Officer Mailbox.
  • Sets up, operates, adjusts, maintains, and monitors the operation of single- or multiple function equipment typical of mail, duplicating and reproduction functions.
  • Receives and processes all orders for forms and publications, to include maintaining inventory of forms and order forms.
  • Collects and reports photocopy count data and mailroom count data for submission to appropriate entities.
  • Processes all priority mail by routing to the appropriate action elements, inputs data for shipments, tracking shipments and costs, and ensuring responses with proper reporting.
  • Executes control and preparation of reports by utilizing applicable computer programs.
  • Operates office automation equipment for the preparation of correspondence and reports, receiving and transmittal of electronic mail, and applications used.
  • Executes processing of incoming/outgoing mail, ensuring it is properly opened, logged, read, date stamped and sorted by established categories for distribution.
  • Reviews and researches returned mail to determine the reason(s)for its return and routes mail to the appropriate unit for action.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/17/2024.
GS-05: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience for this position is defined as:(1) Using various software to produce and transmit documents, reports, and correspondences; (2) Utilizing automated computer systems to enter data and maintain case files; (3) Performing standard clerical duties to include maintaining suspense and follow up systems; AND (4) Reviewing forms and documents for completeness and accuracy.
OR
Applicants may substitute education for the experience required for the GS-05 level.
4 years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

Applicants may also combine education and experience to qualify at the GS-05 level.
To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. A transcript must be submitted with your application if you are basing all or part of your qualifications on education.
GS-06: Applicants must have one (1) year of specialized experience equivalent to at least the next lower grade (GS-05) in the federal service. Specialized experience is work experience that equipped the applicant with the knowledge, skills and abilities (KSA's) to perform successfully the duties of the position. Specialized experience for this position is defined as: (1) Using various software to produce and transmit documents, reports, and correspondences; (2) Utilizing automated computer systems to enter data and maintain case files; (3) Performing standard clerical duties to include maintaining suspense and follow up systems; (4) Reviewing forms and documents for completeness and accuracy.(5) Complete monthly photocopy count data and mailroom count data (to include incoming / outgoing mail count, presort mail count, presort savings, delivery runs, etc.) for submission to appropriate entities; AND (6) Reviews and researches returned mail to determine the reason(s) for its return and routes mail to the appropriate unit for action.
Note: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge and skills, and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience you document, to include volunteer experience.

This is not a Virtual/Remote Position.
Work Schedule: Regular office hours, Monday -Friday, 7:00 AM - 3:30 PM. Alternate work schedules may be available.
Physical Requirements: Work requires some physical exertion such as extended periods of standing, frequent bending,
reaching or similar activities necessary to set up, operate, adjust and monitor operation of the equipment. The employee lifts a variety of moderately heavy materials and supplies such as mailbags or large quantities of paper stock.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. The full performance level of this position is grade GS-06.
