US Federal Aviation Administration is Hiring a Management and Program Assistant (Administrative Support) Near Midland, TX

Duties

FV-E Duties and Responsibilities: Incumbent performs clerical and technical work in support of management analysis and program analysis, the purposes of which are to evaluate and improve the efficiency, effectiveness and productivity of organizations and programs. Functions as the primary office coordinator and personal assistant in performing a variety of secretarial and administrative functions to implement the office's administrative programs, policies and procedures. Performs as a confidant in handling information and documents which flow through the office. Ensures that Manager is provided with background and most current information on particular subjects by researching files and other documents for pertinent data before referring visitors. Maintains Manager's appointment calendar with input by manager for commitments of time. Handles incoming correspondence for the manager ensuring that he/she is made aware of time-sensitive material that may have arrived. Replies independently to routine correspondence not needing the manager's attention and is especially attentive to situations that require sensitive handling. Reads and reviews all outgoing correspondence for procedural and grammatical accuracy, conformance to policies, factual accuracy, correct computations and ensures that it has been cleared interested parties.

FV-F Duties and Responsibilities: Performs a combination of routine, multiple and varying administrative tasks in support of agency administrative programs, policies and procedures. Assists managers, support staff, and other employees in day-to-day operations. Applies experience and advanced to plan and perform administrative assignments with a broad understanding of how administrative assignments contribute to organizational activities. Specialized assignments include the following: Initiates requests for personnel actions and other documents required to fill vacancies and effect other personnel actions (promotions, details, resignations, certification, etc.) Coordinates questions with the servicing HR office regarding personnel actions, routine discrepancies, and missing vague guidance. Maintains and updates organizational systems to ensure accurate account of staff level, employee position assignments and employee status.

Exercises a comprehensive knowledge of the Manager's policies and views on all significant matters affecting the office. Makes all travel arrangements for the Manager, arranging schedule of visits, hotel reservations and administrative contacts with officials to be visited. Estimates the amount of per diem and transportation. Develops and submits travel voucher upon completion of trip ensuring that necessary documentation and receipts are provided. Assembles and summarizes information from office files for the Manager' use on the basis of general instructions as the nature of the information wanted and its purpose. Arranges meetings and conferences for the Manager taking notes and transcribing into final format. Establishes official subject-matter files for the office and assumes responsibility for their maintenance. Assumes file maintenance on an on-going basis keeping other secretaries apprised of new regulations concerning their disposition under the Privacy Act. Monitors the equipment and supply budget for the office by maintaining automated systems for tracking expenditures of funds throughout the year. Reviews correspondence, letters of agreement and facility directives for proper format, correct grammar and conformance with established policies and procedures. Demonstrates considerable independence in planning time and resolves most problems and work issues without assistance. Coordinates facility activities such as retirement seminars and health fairs.

Performs other duties as assigned by the management team at the facility or at the district level.

Qualifications

To qualify for this position at the FV-E level you must demonstrate in your application that you possess at least one year of specialized experience equivalent to the next lower grade level FV-D, (FG/GS 3/6). Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled.
