US Federal Aviation Administration is Hiring an Aviation Safety Assistant (Office Automation) Near Charlotte, NC

Duties

A. Technical Program Support

Processes FAA issued airman certificates such as ground instructor, flight instructor, mechanic, repairman, and flight engineer. Interviews applicants to determine qualifications for non-complex certificates. Processes FAA authorizations such as inspection authorization, aircrew program designee, and aerobatic competency. Processes FAA issued operator and air agency certificates such as air carrier, repair stations, and approved schools. Examines applications and supporting documents for completeness, consistency of information, and assures correctness, if required.

Responsible for processing temporary airman certification files for certificates issued by designated examiners. Examines applications and supporting documents for completeness consistency of information, and fulfillment of Federal Aviation Regulations (FAR) requirements. Assures correction, if required. Monitors and tracks returned files.

B. Correspondence and Reports

Researches, writes, and types non-technical and routine technical correspondence. Assists in composing more complex technical correspondence. Maintains, reviews, and revises form letters.

Receives, sorts, and distributes incoming correspondence, attaching background information when necessary. Responsible for maintaining correspondence control and suspense files. Reviews and assembles outgoing material for mailing.

Prepares reports (such as accident, incident, violation, recurring and special reports) by researching, requesting, information, creating files, preparing control sheets, copying and distributing preliminary and final report documents, and reviewing for accuracy and completeness. Responsible for maintaining individual report logs including the assignment of report or control numbers. Responsible for researching and composing sections of reports, as directed. On own initiative, composes and prepares special and recurring reports. Extracts information for reports from automated databases.

C. General Office Support

Responsible for assigned administrative and technical files such as certificated operator and designee case files in accordance with agency directives. Determines need for new files, initiates action to create files, prepares file folders, dividers, and labels. Maintains administrative/technical library with includes orders, notices, FARs, Master Minimum Equipment Lists (MMELs), aircraft technical manuals and advisory circulars, etc. Assures that charts and office logs are kept current. Determines disposition of and deletes obsolete material or records.

D. Communication

Receives incoming telephone calls, answers inquiries, and directs incoming calls appropriately. Interacts with the public (both domestic and foreign, when applicable) and other FAA offices. Assists visitors, determines needs and provides information or refers as appropriate.

E. Automation Program Support

Assembles and enters information into various automated programs and reviews output. Retrieves data concerning airmen records, certificates, violation histories and aircraft registrations for National Data Base (NDB) and EIS database systems. Using automated systems, backs-up and archives automated files to floppy disks, screens databases, and determines disposition, deletes obsolete or unnecessary files. Transmits data electronically. May assemble and organize work program data for input. Generates routine or ad hoc reports such as inspector planned activity, quarterly work program accomplishment report, quarterly NPG report, and inspector open items.

Assist organization personnel in developing annual work program forecast using National Program Guidelines (NPG); revises work program forecast when required.

F. Administrative Program Support

Surveys organization to which assigned in order to ensure adherence to administrative procedures that are outlined in agency directives. Examines current procedures and practices and recommends or implements changes.

  • Selective Service Registration is required for males born after 12/31/1959.

Qualifications

To qualify for this position at the FG-6 level:

You must demonstrate in your application that you possess at least one year of specialized experience equivalent to the FG-5 or FV-D (FG-5/6) level. Specialize experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position and is typically in or related to the work of the position to be filled.

Specialized experience includes:

Performing a variety of administrative and clerical work, such as, assist in researching, writing and typing non-technical and routine correspondence; reviewing and distributing incoming correspondence; maintaining files; general office support; preparing reports; examining documents for accuracy and completeness; entering and retrieving information from a variety of automated systems.

To qualify for this position at the FG-7 level:
