Summary
Under limited supervision and with considerable latitude for the use of initiative and independent judgment, computes, classifies, records, and verifies numerical data for use in maintaining accounting records and works closely with the Shared Business Specialists to assist in tasks and projects assigned by the SBC Manager.
Essential Functions
Process business transaction requests from faculty and staff in the college (related to the activity at the Graduate Business Center).
Compiles and sorts documents, such as: invoices, work orders, checks, vouchers, and substantiates business transactions.
Verifies and posts details of business transactions, such as: funds received and disbursed; totals accounts to ledgers or computer spreadsheets and databases.
Audits invoices against purchase orders and researches discrepancies.
Collects, reviews, and audits employee timecards for overtime worked and maintains attendance reports.
Examines work orders, payroll, and schedules to obtain data for calculations and tracks work orders by working with accounts payable, purchasing, and other University departments.
Investigates problems that vendors or purchasing agents have with obtaining payment for bills.
Tracks ProCard charges and reconciles statements.
Reconcile accounts of assigned areas based on institutional policies and procedures on a monthly basis.
Prepares vouchers, invoices, checks, account statements, reports, and reviews for accuracy.
Monitors accounts payable and receivables to ensure that payments are up to date.
Codes data for input to financial data processing system according to University accounting procedures.
Prepares expenditure reports and other financial statements for different funding sources.
Monitors and updates long distance calls list.
Performs periodic and as needed inventory of office equipment and supplies; generates purchase orders for new equipment or arranges for surplus equipment to be removed from premises.
Knowledge of all Microsoft Office software and able to learn and use institutional software systems.
Complies with all State and University policies.
Other duties may be assigned.

Required Qualifications:
Education: Associate's degree
and
Experience: Five years related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.
