University of Rochester is Hiring an Executive Assistant to the Director, LLE Near Rochester, NY

Responsibilities

POSITION SUMMARY:
LLE's Executive Assistant is responsible for effectively supporting the day to day activities of the Director's office. This is an on-site position.
TYPICAL DUTIES:

  • Scheduling appointments, meetings and events involving the LLE Director including interaction with Senior Leaders in Government agencies, industry, academics, and national laboratories
  • Coordinating travel arrangements, including booking flights, hotels and transportation
  • Answering phone calls, emails, and other forms of communication on behalf of the Director
  • Acting as the initial point of contact for internal and external visitors to the Director's office suite
  • Provide general guidance protocol level coordination to LLE Administrative Coordinators
  • Drafting and/or proofing correspondence, memos, emails, presentations and reports to ensure accuracy and readability
  • Managing and organizing data, files, and records while maintaining confidentiality and security of sensitive information
  • Processing travel and expense reimbursements
  • Anticipating and addressing issues before they arise and resolving operational challenges independently
  • Building and maintaining positive relationships with internal and external stakeholders representing LLE in a professional manner

Other duties as assigned


QUALIFICATIONS:

  • Associates or Bachelors degree in business administration, office management, or related field preferred
  • Five or more years of relevant work experience in a multi-disciplinary, fast-paced office setting required
  • Strong interpersonal and communication skills, attention to detail, organizational abilities and discretion involving sensitive matters required
  • Proficiency in Microsoft products (Word, Excel, PowerPoint, Outlook, etc.) required
  • Knowledge of Workday and other University of Rochester software tools and resources preferred

Pay Range

Pay Range: $25.72 - $36.01 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined byconsidering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
