Job Description Summary
The IP Compliance Coordinator will be responsible for day to day management of compliance obligations related to the University of Pennsylvania's intellectual property portfolio, and ensuring that information about the portfolio is accurately tracked in appropriate systems of record. The position will be responsible for administrative responsibilities related to the University's IP compliance requirements, including identifying and reporting activity related to new invention disclosures and patent applications to a range of funding sponsors such as the federal government, commercial entities, and foundations. A primary responsibility of the position involves maintaining University compliance with government reporting obligations pursuant to the Bayh-Dole Act. The position will be responsible for entry and reporting of required information via the federal government's iEdison system, other sponsor reporting systems, as well as Penn's own IP management database. The IP and Compliance Coordinator will docket and screen all new invention disclosures submitted to PCI for overall completeness including the careful review and identification of third-party obligations to facilitate tracking and compliance with those obligations. The position will review patent filings with federal funding to ensure the compliance content is fully compliant with the Bayh-Dole Act. The position will be responsible for maintaining comprehensive records of upcoming deadlines in the PCI database including docketing incoming patent correspondence and related deadlines and creating reports to track compliance and prosecution deadlines. The IP Compliance Coordinator will be responsible for facilitating completion of IP assignments and Penn inventor participation agreements and will routinely liaise with the Office of Research Services to provide required invention information for the close-out of grants and contracts.

Job Description
Monitor IP assignment documents and facilitate completion to ensure proper chain of title. Work with faculty and administrative staff to obtain participation agreements from all investigators and log into Penn's IP database system.
Duties:
Docket all new invention disclosures in PCI's database. Screen for compliance obligations including funding sources, materials, co-owners, etc. Obtain contracts related to those obligations and provide feedback about obligations to BD and IP team. Work with the BD team to confirm that no third party obligations exist if no funding sources or materials were reported.
Enter technology, patent, and compliance related correspondence into PCI's database using established SOP's and naming conventions.
Assist IP Compliance Manager with administering all aspects of Penn's iEdison reporting in close conjunction with other internal and external support resources, including entering new disclosures, title elections, patent applications, confirmatory licenses, and utilization reports, etc.
Review all new invention disclosures, patent applications and issued patents to ensure they are sufficient to meet reporting obligations to the Federal Government, foundations, and other third parties. Obtain additional information and supplemental material as needed.
Serve as a primary contact for interactions and administration of relationships with third party interests including the Department of Veterans Affairs (VA), Howard Hughes Medical Institute (HHMI), and The Children's Hospital of Philadelphia.
Supports prosecution workflow for BD groups as assigned. Reviews and records IP materials including new invention disclosures and complex patent correspondence in a timely and efficient manner using PCI's database. Manages critical deadlines and ensures they are met.
Serve as an administrative liaison with the Office of Research Service to provide required invention information for the close-out of grants and contracts.

Qualifications:
Associates Degree required, 2-3 years of related work experience or equivalent combination of education and experience required. Excellent attention to detail, follow-through, and closing. Experience with managing, tracking and/or reporting data. Proven ability to work under time constraints while adhering to strict deadlines. Excellent verbal and written communication skills, team player, experience with technology transfer database software highly desirable. Experience with Microsoft Office Applications required.
Preferred Qualifications:
Bachelor's degree strongly preferred. Experience in IP law or Technology Transfer strongly preferred. Preferred skills include:
Experience managing compliance obligations, federal reporting, and/or working in iEdison.
Understanding of university technology transfer, legal documents and/or intellectual property.
Working knowledge of patent prosecution deadlines, forms, processes, and terminology a plus.
Ability to work independently and as part of a team with a high degree of initiative.
