Job Description Summary
This position reports directly to the Associate Director and works to help identify patterns of inadequate/inconsistent/incomplete/incorrect data (including, but not limited to name presentation, contact data, academics, and employment information) for constituents, find solutions for acquiring good data using a variety of data resources, and ensure that constituent records are updated with this data. The focus is on, but not limited to, VIP constituents and requires professional interaction with various development officers and staff members across campus.
Job Description
Specific Responsibilities:
Identify constituents with inadequate/inconsistent/incomplete/incorrect data, including name presentation and address and electronic contact data. Develop solutions for acquiring good data and ensure that constituent records, focusing on VIPs, are updated appropriately. Analyze and resolve other data integrity issues as assigned. Review data for consistency, format, and accuracy. Update data in a timely and organized fashion to assure the highest possible data quality. Look for systematic and human errors and work with the Director, Associate Director, and ISC staff to correct and develop strategies to eliminate future data flaws, including the Applicant and Parent processes.
Act as MyPenn Alumni Community Administrator, support data quality reviews in the alumni community, and assist alumni with issues submitted to the MyPenn Help Desk
Assist schools and centers for VIP data integrity issues. Assist the Associate Director with data validation processes. Assist with the Parent Process working closely with ISC, Admissions and the Parents Program on accurate and timely delivery of incoming first-year students.
Act as Data Administrator for the Penn Online Community. This position is responsible for creating PennKey setup codes for alumni and assisting/troubleshooting alumni PennKey requests. This responsibility requires significant external client interactions including Alumni and Volunteers.
Assist in SalesForce implementation including data validation and software testing.
Additional responsibilities require working closely with Gifts Accounting & Administration and performing gift processing during peak periods and as needed.
Special update projects as requested by DAR or as determined necessary through data analysis or quality control reports. Assist with answering office phones, Gatekeeper (data loads and updates), Checklist requests, backing up other daily responsibilities of the DAR Records Office, and other duties as assigned.
Required to work Alumni Weekend, Winter Break, the Penn Reunion Leadership Conference (PRLC), and when needed, Homecoming.
The work hours are Monday - Friday 9:00 a.m. to 5:00 p.m.
Qualifications:
High school diploma and 5-7 years' experience in data analysis, preferably in development and alumni relations or equivalent combination of education and experience required. Bachelor's degree preferred. Knowledge of second language preferred. Development experience preferred. Excellent data entry and analysis skills required. Knowledge of Excel and Word required. Knowledge of Business Objects and Access software preferred. Knowledge of SQL and/or R programming languages preferred. Experience with Salesforce, particularly Sales Cloud, Service Cloud, and Community Cloud, preferred. Must demonstrate the ability to provide excellent customer service to a diverse group of alumni, development officers and other co-workers, and other professionals. Must be able to manage multiple daily tasks while working quickly, accurately, and independently. Must have high comfort level with web research and tools.
Ability to work in a collegial and collaborative environment.
Ability to staff events as needed.
Ability to lift up to 25 pounds.
