Job Description

This position will provide advanced and specialized support for the Department of Graduate Health Professions in Medicine. The individual in this position will work closely with faculty members from both the Anesthesiologist Assistant (AA) and Physician Assistant (PA) programs, as well as with the department’s administrative team. Student Support Specialist II will also communicate with, and provide direct support to AA & PA students. The responsibilities of this position provide both collaborative and individual work assignments. Student Support Specialist II will provide student support services for the AA & PA programs to meet accreditation standards and program policies. Responsibilities include coordinating the extensive communication efforts necessary to maintain relationships with students, faculty, and external audiences; reviewing, analyzing, and evaluating student and preceptor information necessary for the fulfillment of clinical rotation requirements; monitoring, verifying, and maintaining student and faculty documentation; and preparing and maintaining appropriate electronic records, files, reports, and information.

Our administrative team works with a diverse group of faculty comprised of physician assistants, anesthesiologist assistants, physicians, and basic medical scientists. The department is a fast-paced environment with multiple ongoing projects occurring at any given time. The applicant for this position should be able to work and maintain progress on multiple synchronous projects.

Specific Responsibilities and Duties

  • Coordinate communications involved with maintaining the department’s relationships between students, faculty, and external audiences, such as clinical sites, preceptors, and guest lecturers.
  • Review, analyze, and evaluate student information necessary for fulfillment of clinical rotation and program requirements.
  • Schedule and monitor multiple student evaluations.
  • Review, analyze, and process data from student evaluations, course evaluations, and clinical rotation evaluations.
  • Prepare and maintain appropriate records, files, and information in relation to student programs, standards, policies, and regulations.
  • Monitor and verify clinical preceptor documentation, licensure, and credentials.
  • Monitor and evaluate student information and documentation in relation to accreditation standards and policies.
  • Communicate and monitor student course enrollment activities.
  • Communicate effectively in person, in writing, or via phone with students, clinical contacts, and other consumers to convey and exchange essential information and documents.
  • Assist with program-related activities such as recruitment, interviews, orientation, and special events.

Minimum Qualifications

A Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Two to three years of previous program support experience. Experience in higher education or healthcare-related professional environment. Experience working with database systems.

Proficiency with Microsoft Office Outlook, Word, and Excel platforms or other computer systems. Professional writing and verbal communication skills. Ability to work and maintain progress on multiple projects.

Anticipated Hiring Range

Salary range: $16.72 - $18.28 per hour, commensurate with experience, education, and internal equity.
