Reporting to the Senior Vice President, Development, University of Iowa Center for Advancement, the Executive Assistant provides high-level, proactive administrative support while exemplifying discretion and professionalism in all interactions. A strong attention to detail, speed, accuracy, proficiency in Microsoft products, the ability to think and plan ahead, and demonstrating discernment and confidentiality are crucial to the success of this position.
**For the majority of time, work will be performed on site with some flexibility to work from home on occasion. Our office is located in Iowa City, IA.**

Proactively manages complex calendars for the Senior Vice President, Development, by prioritizing appointment requests and resolving conflicts; adhering to meeting preferences; preparing materials for upcoming meetings; planning travel and anticipating schedules with little to no direction.
Provides assistance for UICA Leadership business needs as well as complex and extensive administrative support and management of functions and meetings. This includes assisting the Assistant to the President with UICA Board of Director meetings, multiple internal staff meetings as well as managing timelines and assisting with materials for multiple boards and orientation processes.
Composes communications and creates professional documents (presentations, agendas, meeting materials, etc.) utilizing the appropriate resources to provide accurate, professional, and complex work products representative of the Senior Vice President, Development, with limited information or guidance provided from others.
When communicating on behalf of the Senior Vice President, Development, will demonstrate a high level of written communications skills and professionalism in voice.
Partners with the Assistant to the President on complex projects, presentations, and tasks, as determined. Communicates and contributes to ensure a cohesive working partnership that benefits the organizational effectiveness of the Senior Vice President, Development and President and CEO. Serves as a back-up to the Assistant to the President.
Maintains information and proactively tracks and anticipates business tasks relevant for the executive; recognizes information needs proactively and researches and prepares information for the executive with little or no direction.
Independently manages ownership of time-sensitive grant process, working and communicating closely with university and UICA personnel, to ensure timely and professional completion.
By requested deadline completes administrative tasks to include: conference and event registration and preparation as well as oversight of stewardship processes for the Senior Vice President, Development and President and CEO.
Maintains proficiency and serves as a resource for others in new and current technologies utilized in all departments at UICA.
Answers complex questions from UICA colleagues, external constituencies and/or donors.

Education & Experience: HS diploma 10 years administrative experience, OR, an associate’s degree 8 years administrative experience, OR bachelor’s degree 5 years administrative experience. Demonstrated experience supporting a senior leader requiring confidentiality and discretion with proficiency in all Microsoft products, as well as preparing accurate written communications and meeting/event coordination planning & scheduling is required.
