OSI's mission is to execute System and state-wide initiatives and turn those visions into reality with a focus on expanding the University's institutional capabilities in support of the broader public good. The function of this position is to assist the Office of Strategic Initiatives with public health and research project management, compliance on contracted services, stakeholder engagement, and process improvement. This position can be located on any of our three campuses. This will be mostly hybrid with some travel to our Urbana and Chicago campuses.

DUTIES AND RESPONSIBILITIES

70% IDPH Projects

  • Project management of Illinois Department of Public Health (IDPH) Internship Program
  • Ensure scope, deliverables, and milestones are achieved
  • Manage blogs, forms, interviews, and other documents to ensure job postings, screening, interviews, placement, and follow up for IDPH internship applications occurs in a timely and efficient manner
  • Review application materials, schedule and perform interviews with applicants, and assist with placement
  • Ensure verification of students' academic standing at beginning and throughout internship
  • Outreach to and upkeep of contact lists related to career advisors at all colleges and universities across the state of Illinois
  • Analysis of process improvement of IDPH Internship program
  • Create and update reports on program metrics including but not limited to, the number of internships available, filled, applicants, academic year, university or college
  • Track and escalate any concerns from IDPH supervisors and students
  • Create and manage evaluations from supervisors and students at completion of internship
  • Assist with indoor air quality improvement projects, including air purifier logistics, school outreach, and health impact data collection
  • Manage data collection and assist with preparation for new IDPH projects
  • Assist with tracking deliverables and milestones for IDPH Office of Disease Control projects

20% Research Coordination

  • Coordinate research projects and activities, facilitate meetings, and track project details and timelines
  • Manage SHIELD Illinois funding opportunities and obtain project updates
  • Respond to requests for SHIELD data or access to IDPH or ISBE data
  • Track publications from PIs receiving SHIELD funding or using SHIELD data
  • Assist with proposal development efforts including, but not limited to, managing timelines, planning, writing, acquiring supporting documents and data, proposal drafting, and editing
  • Identify resources that strengthen proposals and research activities
  • Ensure compliance with research activities
  • Communicate progress with project stakeholders, researchers, and leadership, especially at key review points

10% Administration

  • Facilitate the usage of project and portfolio management software
  • Assist with overseeing and mentoring student workers working on assigned projects
  • Respond to critical requests for information during and outside of normal business hours, as needed
  • Create and deliver high-quality written and verbal reports in support of individual projects or the operations of the unit as requested
  • Perform operational tasks in support of the unit. This includes reporting, planning, documenting, and data collection/assessment on other projects as needed
  • Other tasks or duties as assigned
QUALIFICATIONS

Required:

  • Bachelor's degree in business administration, public health, or related discipline
  • Two years of strong relationship management skills and project management experience

Preferred:

  • Previous experience working on grant-funded public health programs
KNOWLEDGE AND EXPERIENCE
  • Must have strong verbal and written communication skills
  • Knowledge of public health policy
  • Understanding of research organizations and funding
  • Ability to work well independently as well as a part of a team
  • Ability to work in a hybrid environment
  • Ability to interact and build relationships with stakeholders from multiple levels
  • Ability to create, adjust, and manage processes for new and existing projects
  • Proficient computer skills and advanced knowledge of applicable computer systems. This would include advanced skills in Microsoft Office products such as Word, Excel, PowerPoint, and Outlook
