University of Illinois Hospital is Hiring a Program Coordinator - College of Liberal Arts and Sciences, Dean's Office Near Chicago, IL

The Program Coordinator is responsible for the day-to-day administrative operations and event planning in the Dean's Office of the College of Liberal Arts and Sciences. This position will work in coordination across College administration, including Dean's staff, Associate Deans, College Finance and Human Resources, and the College Advancement Team. The incumbent will ensure effective and efficient program support for ongoing initiatives including senior faculty hiring, advancement outreach efforts, purchasing and financial reporting, and special projects. The Program Coordinator acts as the liaison to university offices and entities such as facilities, telecommunication, meetings, and conferences as well as to external stakeholders and vendors. The incumbent will also provide, as directed, scheduling and meeting support to the Associate Deans.

Duties & Responsibilities

  • Responsible for scheduling, organizing, and providing logistic support for special events, seminars, presentations, business meetings, donor meetings, and other college-level events, including assisting with alumni and donor events. Arranges travel and accommodation, event space, catering, and special requests. Prepares attendance lists and speaker invitations, maintains RSVPs, and communicates independently with guests and attendees, including VIPs and donors. Tracks budget expenditures and allocated resources. Communicates independently with internal and external constituents, drafts communications within Office of the Dean and the College.
  • Coordinates daily operations of the Dean's Office. Responds to inquiries, tracks, and resolves issues, maintaining awareness of deadlines and planning work projects in accordance with overall administrative and organizational needs and objectives. Tracks, maintains, and purchases office supplies. Manages conference room space for internal and external stakeholders. Handles facilities management requests, assists in facility related projects, maintains keys, coordinates service calls, manages building access, and maintains Dean's Office directory. Interviews, hires, orients, leads, mentors, and evaluates student workers to meet administrative and organizational needs.
  • Provides general support to Associate Deans and Advancement team, including special project assistance, event planning, and alumni relations. Acts as resource to departmental staff and fills in during staffing shortages, as directed.
  • Responsible for day-to-day purchasing needs, planned travel arrangements, and reconciliation of Chrome River transactions, P-card, and T-card purchases. Assists with reconciliation of T-Card and P-Card purchases of the Dean's Office staff, acts as proxy.
  • Provides logistical assistance during the hiring process of senior hires, including searches for department heads and endowed chairs. Supports the Dean’s Executive Assistant(s) in acting as point person for candidates, corresponding with candidates, serving as the liaison between the search committee and Dean's office. In collaboration with search committee chair and Executive Assistant(s) to the Dean, prepares the interview schedule.
