JOB POSTING
This position works remotely requiring a telecommuting agreement and adherence to the UCSC Telecommuting/Remote Work Guidelines. The employee shall be available in a full-time capacity during assigned telecommuting work hours (specific hours to be discussed with supervisor). While telecommuting/remote working, the employee is responsible for ensuring a worksite environment suitable for accomplishing their regular job duties during scheduled hours of work and, if applicable, arranging for dependent care just as they would if they were working at the regular UCSC worksite.
NOTIFICATIONS
UC Vaccination Policy: With limited exceptions, COVID-19 vaccinations are required for Covered Individuals under the Policy. Covered Individuals include all employees, students, or trainees who physically access a University facility or program in connection with their employment, appointment, or education/training.
Covered Individuals do NOT include employees who work 100% remotely with NO expectation that they will physically access any University location or program at ANY time. If 100% remote work ends, the employee is subject to policy.

The Smarter Balanced Assessment Consortium (SBAC) is a public agency supported by 15 members (13 states, one territory and the Bureau of Indian Education). JOB SUMMARY
Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope. Provides administrative support to the IT and Strategic planning unit.

JOB DUTIES
50% - General Administration
  • Administers a defined operational program and activities which may include some of the following functions: planning, customer service, communications, informational technology or implementing standard operating procedures.
  • Gathers and analyzes data as needed in support of both the IT and the Strategic Planning units; prepares reports and analyses of operational activities, helps evaluate current and proposed services, etc.
  • Functions as a resource on issues and answering questions for staff as needed with customer service problems and vendor concerns.
  • Assesses and recommends changes to maintain compliance with, campus and organizational requirements and internal policies.
  • Schedules meetings with staff across multiple teams, and coordinates calendars for Director-level staff as well as travel logistics (hotel, flight, rental car). Schedules interviews with prospective candidates and hiring committees. Coordinates travel arrangements and travel reimbursements, ensures adherence to policy and stays abreast of policy updates.
20% - Documenation and Tracking
  • Document meeting notes and action items for team meetings and advise on action items as needed to support projects and unit objectives.
  • Participates in the development and revision of standard operating procedures and guidelines. Researches and gathers information and provides information to Senior Directors. Prepares reports, presentations, agendas and unit communications.
30% - Equipment Management
  • Coordinates logistics of equipment delivery and receipt. Monitors inventory levels. Recommends replacement schedules. Tracks, documents and prepares reports in support of all equipment management needs.
  • May work with equipment manager with onboarding coordination.
REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Ability to use sound judgment in responding to issues and concerns.
  • Ability to use discretion and maintain confidentiality.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common computer application programs.
PREFERRED QUALIFICATIONS
  • Working knowledge of organization-specific computer application programs.
  • Experience ensuring that organizational practices, services, and behaviors support and promote diversity among staff.
SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work remotely from a home office and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Ability to work occasional nights, weekends and/or holidays.
  • Ability to travel when required.
