DEPARTMENT DESCRIPTION

This position is one of four administrative assistants within Transportation Services (TS). The administrative unit is responsible for supporting the administrative and financial needs of all the units within Transportation Services. The Administrative unit holds independent decision-making authority based on significant knowledge of the organization’s objectives, activities, policies, procedures and technical activities. TS is a self-supporting auxiliary unit consisting of two departments and two programs that employ 30 staff and 70 student employees with budget in excess of $15M.

JOB SUMMARY

Under general direction of the Administrative Services Supervisor, these positions serve as the first point of contact and subject matter experts on transportation and parking related services for the campus. Independently analyze client’s transportation needs and provide guidance on available services including use of applications for daily parking and parking space inventory. Manage citation appeals and approve adjustments within delegated scope of responsibility. Reconcile sales transactions, audit reports for transfer of revenue to appropriate fund sources within accounting deadlines.

WORK ENVIRONMENT

  • Sit/stand at computer for extended periods of time.
  • Occasional mandatory overtime may be required during peak times and special events.
  • Modified work schedule on short notice to cover other shifts.
  • Restricted vacation use during peak workload periods.
  • On occasion, work in inclement weather conditions.

QUALIFICATIONS

Required:

  • Experience working in a high volume customer service environment.
  • Experience interpreting policies, advising customers and independently making decisions.
  • Experience performing business and financial transactions, including account management, fiscal record keeping and reconciliation of expenses.
  • Experience in software programs such as Microsoft Office Suite (Excel, Outlook, Work, Power Point).
  • Knowledge of campus cashiering policies and practices.
  • Interpersonal and customer service skills to communicate in a positive, tactful and effective manner with diverse group of people, to relay messages accurately and appropriately, and to handle difficult, sensitive and confidential issues.
  • Mathematical skills to calculate fees and process transactions and recharges.
  • Organizational skills to complete projects/tasks with frequent interruptions.

Preferred:

  • Experience working with confidential and sensitive materials.
  • Experience with citation management database.
  • Experience with multi-line telephone system, including transferring calls and taking phone messages.
  • Demonstrated experience using automated financial information systems (i.e. Oracle, KFS, Decision Support preferred).
  • Strong verbal and written communication skills.
  • Knowledge of campus locations, policies and procedures.
  • Skills to interpret a map and provide verbal instructions/directions to customers.
