Position Highlights
The College of Medicine – Phoenix is seeking an experienced Administrative Support Assistant who is ready for their next career move. This position will work closely with Senior Leadership (Chair/Director/Chief), Director of Operations, Senior Executives, faculty and staff for the Dermatology department, helping them manage their educational, clinical, administrative and research missions. The ideal candidate will possess excellent organizational skills, attention to detail, and written and verbal communication skills as well as a professional demeanor. Also, the incumbent should be able to maintain sensitivity with confidential information, and possess computer proficiency in Microsoft Word, Excel and Outlook.

Duties & Responsibilities

Leadership support:

  • Assist in managing day-to-day administrative support operations of the department/office.
  • Schedule and manage meetings with executive leaders from COM-P, UA, and partner hospitals (Banner, Dignity, Honor Health, MIHS, PCH, and Yuma Regional Medical Center).
  • Prioritizes and arranges meetings/events, conferences and appointments for unit leadership; makes necessary travel reservations and itineraries; determines and prepares background materials and forms as needed.
  • Preparation and design of materials for meetings as directed, and take meeting minutes.
  • Investigate, evaluate and resolve typical administrative/operational problems or situations impacting staff/faculty work unit.
  • Manage all logistics for meetings (room reservations, technical support, food and beverages, parking arrangements, communication to participants and assists in planning of departmental events, etc.).
  • Coordinates with Office of Faculty Affairs and Human Resources to facilitate faculty and staff recruitments and other committees as needed, under supervisor's direction Schedule interviews and manage logistics for job applicants.

Department Support:

  • Prioritizes workload, meetings, and appointments to meet work unit operations. Assists in the coordination and implementation of multiple projects.
  • Provide skilled support on a variety of strategic initiatives, under supervisor's direction (such as organizing documents, tracking progress, action items).
  • Evaluate and recommend operational changes to work unit to ensure effectiveness and compliance with University policies and regulations Investigate, evaluate and resolve typical administrative/operational problems or situations impacting staff/faculty work unit.
  • Work with appropriate administrative offices for website updates as required.
  • Assists with, coordinates and assembles necessary documents for departments annual and 5 yr reviews.

Financial Management Activities:

  • Purchases & bill pay for department (p-card documentation, DV’s travel & other reimbursements).
  • Maintain finance filing systems as required.

General Office Operations:

  • Composes confidential correspondence when required, as directed.
  • Organize and file office documents as required (department inbox, phone lists, inventory, etc.).
  • Coordinates business affairs, personnel matters and may interpret policies and procedures.
  • Assist in investigating, evaluating and resolving typical administrative/operational problems or situations impacting staff/faculty work unit, as directed.
  • Order supplies.
  • Additional duties as assigned.

Knowledge, Skills & Abilities:

  • Knowledge of standard office policies and procedures.
  • Skill in developing and maintaining good working relationships.
  • Skill in English composition, grammar, spelling and punctuation.
  • Skill in basic math.
  • Skill in the use of personal computer/software.
  • Ability to problem solve and make decisions.
  • Ability to effectively communicate.
Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work
    experience.
Preferred Qualifications
  • Proficient in Microsoft Outlook Suite.
  • Experience with prioritizing multiple projects and achieving desired results and deadlines.
  • Experience with managing multiple calendars.
  • High degree of flexibility.
  • High degree of attention to detail.
  • Excellent data entry skills.
  • Excellent organizational skills.
