General Summary

Under general supervision of the Strategic Management Officer, the Project Coordinator will support the Project Management Organization in organizing and coordinating equipment, resources, data, and information to implement upcoming projects. Working in a team environment and in accordance with the USSFCU project management methodology, the Project Coordinator will organize meetings, take notes, maintain Playbooks, manage schedules, and ensure materials and information are present to meet project deadlines. The Project Coordinator will also serve as the Retail Business Administrator for the corporate communications system.

Major Duties & Responsibilities

  • Organizes, facilitates, and coordinates project initiatives from inception to implantation, under the direction, guidance, and mentorship of the Strategic Management Officer or Sr. Project Manager.
  • Participates in administering the individual project budgets.
  • Maintains expertise in Credit Union functions, Project Management methodologies, practices, and resources, knowledgebase, and regulations.
  • Maintains Playbooks, updating timelines, decisions, and action items on behalf of the assigned Product Manager.
  • Administers and maintains business applications for the corporate communications system. Provides support to the retail business owners and departmental users of the communications system by tailoring and implementing the application’s associated business processes. Acts as primary resource to enhance and deliver user-friendly capabilities for the system, including but not limited to monitoring and control functions, analyzing business and technical processes within the organization, and system reporting. Assists in maintaining and troubleshooting issues, user access privileges, help files, training/user documentation, records, parameters, and other items as assigned.
  • Maintains effective relationships with internal business partners.
  • Serves on teams and task groups for projects/initiatives within the business unit and/or across the organization.
  • Prepares project plans, proposals, schedules, budgets, communications, and staffing requirements.
  • Follows up on vendor and supplier tasks associated with each assigned project.
  • Creates status reports and assists in updating the Master Project Portfolio.
  • Acts as a task lead on projects assigned by the Project Manager.
  • Supports the SMO in the development of Holistic Project Plans and workflow diagrams to reflect a comprehensive project scope.
  • Schedules and coordinates project meetings in accordance with Project Manager directives.
  • Escalates project issues to Project Manager and/or management for resolution.
  • Organizes and attends meetings and distributes minutes to project team members.
  • Collaborates with various levels of staff to accomplish tasks/assignments.
  • Performs project management administrative duties.
  • Participates in annual updates to the Business Continuity Plan.
  • Updates project staffing plan and playbook, following up on assignments for project tasks, and escalating coverage issues to the project manager as needed.
  • Performs other related duties as assigned.
Experience and Skills:


Education:
Associates Degree and Project Management experience or equivalent work preferred.

Experience: Experience using project management software for a variety of tasks. Competency in using Microsoft Office including Word, Excel, PowerPoint, and Outlook. Experience in Cost-Benefit Analysis and Project Tracking Cost. Stakeholder management skills preferred. Previous financial institution experience preferred and experience facilitating meetings and workshops.

Skills: Is detail oriented. Provides and receives constructive feedback, taking direction to ensure adherence to the agreed upon Project Management Methodology. Manages conflict and timely resolution of internal and external project issues and project schedule. Shows empathy and patience. Remains organized, multitasks effectively and is open to learning. Has the ability to the initiative and move to action.

Communication: Demonstrates excellent oral and written communication skills. Remains approachable, flexible, adaptable, and accountable. Maintains social and interpersonal skills.

Supervisory: None Required

Time in Service: 1-3 years of Project Management experience preferred.
