Executive Assistant

Position Summary 

This position provides support to the LifeCircles Executive Director and handles business related tasks for the organization such as managing schedules, creating reports, creating and formatting documents, managing organizational accounts, and organizational purchasing. This position demands great communication skills, flexibility, proactive logistics, and efficiency, with demands and expectations prone to changing on a day-to-day basis.

Required Qualifications 

  • Four or more years of experience in an administrative role reporting directly to upper management
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

Desired Qualifications

  • Experience in overseeing budgets and expenses
  • Experience in developing internal processes and filing systems

Position Functions/Duties 

Administrative Support: Support the Executive Director primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently

Communication Management: Handle incoming calls, emails, and other correspondence on behalf of the executive, prioritizing and responding as necessary.

Travel Arrangements: Coordinate travel logistics, including booking flights, accommodations, and transportation for business trips, ensuring smooth and efficient travel.

Meeting Coordination: Arrange and prepare materials for meetings, including agendas, presentations, and other necessary documents. Attend meetings to take notes, track action items, and follow up on outstanding tasks.

Information Management: Maintain organized and up-to-date filing systems, both electronic and physical, to ensure easy access to important documents and information.

Project Support: Assist with special projects and initiatives as assigned by the executive, which may involve research, data analysis, and coordination with other team members.

Expense Management: Process and track expense reports, invoices, and other financial documents, ensuring accuracy and compliance with company policies.

Problem Solving: Act as a point of contact and resource for resolving issues and addressing concerns that arise in the course of daily operations, exercising sound judgment and problem-solving skills.

Adaptability: Be flexible and adaptable to changing priorities and work demands, adjusting schedules and tasks as needed to support the executive and the organization's goals.

Professional Development: Continuously seek opportunities for learning and skill development to enhance effectiveness in the role and contribute to the success of the executive and the organization.

Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times, respecting the privacy and trust of the executive and the organization.
