UCLA is Hiring an Administrative Officer 3 Near Los Angeles, CA

Under the direction of the Faculty Director, working in close collaboration with the Director of Research Development, the Program and Operations Manager (POM) will ensure successful implementation and operation of all activities, including programs, events, conferences, workshops and office operations for Sustainable LA Grand Challenge (SLAGC). A successful POM works with a high degree of autonomy to serve as the primary operational contact for SLAGC activities demonstrating conscientiousness, resourcefulness, consideration of stakeholder needs, seasoned judgment, and integrity in all aspects of work. The POM must possess enthusiasm, creativity, and a growth mindset in advancing work across a wide-ranging, dynamic, and complex scope. *Please combine and upload cover letter and resume.

Salary & Compensation

  • UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Qualifications

  • A personal and professional understanding of and commitment to diversity, equity and inclusion and the ability to interact diplomatically and sensitively in these working relationships in various social, cultural and educational backgrounds. (Preferred)
  • Strong interpersonal skills to establish and maintain professional, effective, and cooperative working relationships with faculty, students, staff and the public (including vendors, sponsors, donors, etc. as well as general public and non-academic partners) (Required)
  • Ability to identify staffing needs, then recruit, hire, supervise, counsel, motivate, and progressively discipline employees effectively on a variety of levels and to create an atmosphere that fosters collaborative cooperation among team members. (Preferred)
  • Excellent strategic planning, leadership, organizational and visionary skills to administratively manage academic initiatives; adept at analyzing situations, identify patterns and relationships across organizational boundaries to formulate creative, logical and objective conclusions and solutions. (Required)
  • Ability to analyze, assess knowledge, skills and characteristics of departmental personnel so as to adjust work assignments and delegate work tasks to achieve high organizational productivity with low friction to attain programmatic goals and objectives. (Required)
  • Ability to take direction and work independently to establish priorities and manage time and workload effectively to complete assignments and accomplish departmental objectives in a timely manner amid conflicting demands, multiple deadlines, competing requirements, and changing priorities. (Required)
  • Demonstrated skill in financial planning, budget management, analysis and reporting of financial operating data to determine costs, control operations, cost effectiveness and budget maintenance; able to also apply these skills to event planning and on-site event management and problem solving. (Required)
  • Skill and flexibility to perform a variety of miscellaneous projects that involve problem solving and troubleshooting as needed for non-standard, urgent, or unexpected circumstances. (Required)
  • Working knowledge of university financial and personnel systems, practices and policies, and a commitment to stay current as they change, in the areas of a) academic, staff, and apprentice personnel; b) student affairs; c) budget and accounting; d) contract and grant administration; e) purchasing and equipment management. (Preferred)
  • Demonstrated understanding of the organizational and operating structure of the University, and ability to quickly recognize the culture and priorities different departments. (Preferred)

Education, Licenses, Certifications & Personal Affiliations

  • Bachelor's Degree Degree from accredited university. (Required)
  • The equivalent of three to five years of operations, administrative, and financial management, preferably in an academic or comparable environment. (Required)
  • Awareness of and strong commitment to climate change and sustainability issues. (Preferred)

  • Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation.
  • Live Scan Background Check: A Live Scan background check must be completed prior to the start of employment.
