The Academic HR Analyst is responsible for analysis and administration of a variety of academic personnel actions and human resources issues of moderate scope and complexity including faculty, lecturers, postdoctoral scholars, and visiting academic titles for the Materials Science and Engineering (MSE) Department. This position will manage recruitment process, academic appointment and advancement review files inclusive of merits, promotions, appraisals, 5-year reviews, process leaves, and coordinate outside activities of the faculty. Emphasis is placed on meeting deadlines, comprehensive analysis, and completion of projects in collaboration with the chair and ad-hoc review committees. Duties also include but are not limited to the academic review process, dossier management, liaising with the School of Engineering Dean's Academic Personnel Office and other internal and external campus agencies, updating the departmental database, entering appointments in academic systems and trackers, visa processing, and postdoc administration. Additionally, this position will provide assistance to the Chair regarding academic budgeting and course planning, coordinate departmental events, MSE newsletter, and maintain the MSE website and social media accounts. Within the UCLA Samueli School of Engineering, the department consists of 17 ladder faculty, 5 adjunct faculty, 12 joint faculty, and approximately 300 undergraduate and graduate students. Percentage of Time: 100 Shift Start: 8:00 am Shift End: 5:00 pm Qualifications for Position 17 Records Qualifications Required/Preferred 1. General understanding of the organizational and operating structure of a University and academic departments. Required 2. Direct experience performing tasks associated with the human resource management lifecycle of academic personnel in a higher education setting. Preferred 3. Working knowledge of procedures and practices that govern academic personnel administration. Preferred 4. Working knowledge of UC-wide Academic Personnel Policies (APM) and bargaining union contracts, and the procedures and practices that govern academic personnel administration Preferred 5. Skill in compiling and analyzing information to define problems or objectives; identifying relevant concerns or factors; formulating logical and objective recommendations or conclusions; and recognizing viable alternatives and their implications. Required 6. Interpersonal skills to establish and maintain cooperative working relationships with faculty, postdocs, visiting appointments, and staff of various social, cultural and educational backgrounds. Required 7. Detailed working knowledge of UCLA personnel, recruitment and payroll applications. Preferred 8. Skill in enterprise personnel systems to effect personnel actions and to monitor transactions of other preparers. Preferred 9. Skill in using student record information systems to schedule classes and to extract information for analytical reports. Preferred 10. General knowledge of alien non-immigrant visa regulations. Preferred 11. Ability to independently analyze and prioritize tasks to attain programmatic goals and objectives and perform effectively under conditions of fluctuating workload. Required 12. Skill in communicating (verbally, electronically, in writing) using appropriate vocabulary and grammar to obtain and convey information, and explain complex policies and procedures to individuals at various organizational levels. Required 13. Ability to establish and maintain cooperative working relationships with students, faculty, staff, and various administrators. Required 14. Ability to solve problems and follow through on assignments with minimal direction. Required 15.
