Purpose
:

Performs a full range of administrative support duties for a dealership location. Directs phone calls received at the location to the appropriate dealership personnel.

Responsibilities:

  • Receives visitors and telephone calls ensuring these individuals are directed to the proper parties within the dealership.
  • Direct customer complaints to the appropriate department with a focus on customer satisfaction and customer retention.
  • Communicate and monitor TRULAND Equipment location processes to ensure internal and external customer satisfaction.
  • Accurately and timely process the daily cash balancing for the location, from counting the revenue, reporting the results, and depositing it in the appropriate financial institution.
  • Ensure the integrity of the TRULAND Equipment Accounts Receivable system by accurately and timely processing customer payments and/or deposits.
  • Ensure the integrity of the TRULAND Equipment Accounts Payable system by accurately and timely processing the approval of vendor invoices.
  • Accurately process intercompany equipment transfers in EQUIP.
  • Review purchase orders ensuring information is accurate and submit supporting paperwork to Accounting Department.
  • Drafts and produces standard letters and memoranda as requested and prepares documents for distribution.
  • Provides administrative support to the sales, parts, and service departments at that location.
  • Distributes mail and maintains dealership files.
  • Order supplies and run local errands for the store location.
  • Control and maintain proper paper flow in the administrative area.
  • Maintain a neat, clean, and attractive environment throughout the administrative area of responsibility.
  • May assist with calling customers for service inspections and contacting customers with past-due accounts.
  • Assist the accounting department with data entry, routine tasks, and special projects as directed.
  • Other appropriate responsibilities as assigned by manager.

Experience, Education, Skills, and Knowledge:

  • High school diploma or equivalent required.
  • Solid clerical expertise.
  • General accounting knowledge.
  • Excellent customer service skills.
  • Experience with Equip and other dealer business systems is a plus.
  • Multi-line phone system experience is preferred.
  • Strong people and communication skills.
  • Ability to use standard desktop load applications such as Microsoft Office.
  • Detail-oriented, professional attitude, and reliable.
  • Ability to multi-task.
  • Ability to operate basic office equipment.
  • Willingness and ability to work weekends as scheduled.
  • Valid driver's license required.
  • Driving record that meets Employer's insurance company requirements.
