Trim Tech Designs is Hiring an Executive Assistant/Office Manager Near Naperville, IL

Trim Tech Designs, a growing luxury custom cabinetry boutique is seeking a passionate hardworking Executive Assistant Office Manager with 2-4 years administrative experience to join their team. This opportunity is perfect for someone with construction or design experiencer and who loves variety. From calendar management, travel arrangements, Quickbooks management, project estimates, this position has it all. This exciting position is based in Naperville, IL.

Primary Function & Responsibilities:

  • Creates customer invoicing in QuickBooks, sending customers invoices, posting customer payments daily, and helps to manage the accounts receivable balance.
  • Creates daily deposit of customer payments, using QuickBooks and banking software.
  • Works with highly confidential and proprietary information with the utmost professionalism.
  • Assist with organizing and creating estimates.
  • Greets visitors, answers and redirect phone calls, and handles incoming and outgoing mail, packages, and deliveries.
  • Schedules and confirms meetings and appointments on behalf of the Owners.
  • Assists with planning and coordination of meetings, luncheons, retreats, etc
  • Manages the staff recognition program for birthdays, anniversaries, and other occasions.
  • Sound judgment and the ability to anticipate potential problems and address them before they arise.
  • Printing, filing, and organizing documents, including creating organizational systems in both print and digital formats.
  • Coordinate travel bookings and expense processing for owners and road crew.
  • Conduct research and gather information to help answer questions and solve problems.
  • Handle all travel details including flight, hotel, and rental car with detailed itineraries.
  • Responsible for additional administrative tasks as needed.

Minimum Required Qualifications for this position-

  • 2-4 years experience in administrative support to executive level staff
  • Familiarity with: Microsoft Word, Google Suite, Mailchimp, Microsoft Excel, and
  • Proficient in QuickBooks Online - MUST**
  • Minimum 3 years of Quickbooks Experience
  • Design experience is a PLUS
  • Ability to work in a fast-paced environment and handle high-stress situations
  • Excellent communication, writing, and customer service skills
  • Strong organizational and time management skills
  • Ability to manage schedules seamlessly across time zones (domestic and international)
  • Work well independently and strategically as a team player
  • Multi-tasker who exercises keen time management skills
  • Resourceful, problem solver
  • Always maintain professionalism with clients
  • Possess “think on your feet” ability and showcase impeccable judgment
  • High emotional intelligence and strong personal impact
