TRI COUNTY OFFICE ON AGING is Hiring a Volunteer and Outreach Specialist Near Lansing, MI

Job Title: Volunteer and Outreach Specialist
Reports to: Community Engagement and Fundraising Director
Work Location: Lansing, MI
Base work schedule: Monday – Friday, Full Time, 40 hours per week
Compensation: $20.19/hour plus benefits
General Responsibilities: Recruits, screens, and coordinates Agency volunteers. Assists with volunteer training, support, and reporting. Coordinates Friendly Reassurance Program. Assists with Agency outreach efforts including public speaking and presentations. Coordinates appreciation events and opportunities. Assists with creation of Agency publications and social media.

  • Serves as the initial point of contact for prospective volunteers, reviewing incoming volunteer applications and routing them to appropriate programs. Assists with screenings as needed.
  • Supports each Agency program in their efforts to ensure volunteer applications, background checks, confidentiality forms, photo releases, training documents, and other required materials are complete and up to date.
  • Maintains contact with each Agency program to review current volunteer needs.
  • Serves as lead coordinator for the Friendly Reassurance Program: Coordinates volunteer assignments and trainings, receives new participant referrals, follows through with participant and volunteer identified issues.
  • Maintains a volunteer database using current software for all volunteers.
  • Assists with recruitment efforts by connecting with local service groups, civic organizations, and businesses to offer presentations and meetings on how to become a volunteer. Maintains Agency’s profiles on volunteer recruitment websites.
  • Coordinates volunteer appreciation opportunities and events.
  • Oversees Administrative Volunteer program and places volunteers based on Agency needs.
  • Maintain and implement Agency-wide Volunteer Processing Procedure, Volunteer Handbook, and volunteer job descriptions.
  • Prepares reports on volunteer hours, volunteer longevity, demographics, and others as requested.
  • Develops and maintains Agency Speakers Bureau including recruitment and training of volunteers.
  • Assists in communication activities including updates to the Agency’s website, social media accounts, e-newsletters, and other agency-related messaging.
  • Recruits, coordinates, and serves as day-of point person for fundraising event volunteers and assists with other fundraising tasks in coordination with Community Engagement and Fundraising Director.
  • Assists with community outreach including organization of Agency materials and brochures. Maintain database of outreach supplies and assist with design and requesting purchases of new materials.
  • Maintains outreach database to plan outreach presentations throughout Agency service area.
  • Attend seminars and events relating to the Agency and volunteer services. Represents the Agency at meetings as assigned.

Knowledge, Skills & Abilities:
  • Commitment to the organization’s missions and goals.
  • Computer skills sufficient to learn specific departmental software programs.
  • Ability to maintain confidential information regarding all aspects of participant, volunteer, and agency information.
  • Ability to work independently or as part of a team.
  • Ability to communicate effectively and establish good relationships with staff, participants, volunteers, funders, and vendors, including strong writing and organizational skills.
  • Ability to represent the Agency in a professional manner.
  • Must be able to adjust priorities to meet deadlines in a timely manner.
  • Ability to meet department standards with regard to job knowledge, participant focus, initiative, productivity, communication, teamwork, and attendance.
Requirements:
  • Bachelor’s degree in business, Human Services or related field required.
  • 1-2 years of experience working with volunteers preferred.
  • Experience with social media marketing and digital content creation preferred.
  • Experience in a nonprofit setting preferred.
Working Conditions:
  • The work environment is a typical office setting with varying temperatures, conversational noise levels and everyday office activities.
  • Safe work practices regarding use of office equipment, avoiding trips/falls and fire regulations are required.
  • Physical mobility is required for sitting, walking, standing, bending, and lifting/holding/carrying objects of up to 20 pounds.
  • Ability to enter and access information using a computer. Must be able to communicate effectively with participants, co-workers, volunteers, and vendors in person and over the telephone.
  • Mental requirements include the ability to handle varying levels of stress..
