Town of Brownsburg is Hiring an Executive Assistant / Reception Near Brownsburg, IN

Employee services as an Executive Assistant to the Town Manager's office, in developing, implementing and completing all office duties and tasks including assisting with the implementation of services, policies, and programs. 

Essential Duties and Responsibilities: Duties include, but are not limited to:

  • Assist Community Relations Manager in implementing communication and marketing strategies, including social media content, web content, print content, and other publications.
  • Providing clerical/administrative support to the Town Manager’s office as requested; scheduling appointments, meetings, conferences, and other related events; communicating with various individuals regarding activities, itineraries, and related issues.
  • Researching and collecting information on a variety of projects; performing data entry; completing claims and necessary for purchasing; providing copies; preparing and maintaining department inventory records and reports as assigned.
  • Assist with greeting visitors and answering questions that residents have regarding Town policies, procedures, and ordinances; route calls and residents to appropriate staff and return missed calls in a timely manner. 
  • Serve as liaison between the Town Manager, other Town Personnel, Town Council, community groups and members of the public, including receiving and recording messages and complaints, responding to inquiries, providing assistance, and communicating the Town Manager's messages and directives.
  • Assist the Town Manager in the development of capital, strategic, short and long-term planning, gathers, interprets, and prepares data for studies, reports, and recommendations; coordinates department activities with other departments and agencies as needed.
  • Assist with researching, developing, and implementing, and/or reviewing, interpreting, and recommending changes to specifications, standards, policies, procedures, codes, regulations, and ordinances that relate specifically to department goals, objectives, policies, and procedures.
  • Assist the Human Resources Department by screening applicants and discussing potential job opportunities with the public.
  • Performs a variety of administrative duties, including composing, typing, copying and/or processing various documents, such as correspondence and meeting agendas and notices, maintaining organized files, entering data on computer, ordering office supplies as needed, and opening and prioritizing department mail.
  • Coordinating, developing, and distributing agendas and packets and entering them into Laserfiche for the following: Town Council, Redevelopment Commission; Redevelopment Authority, Economic Development Committee on a regular basis; and for all other Commissions and Committees as needed.
  • Assist in developing, implementing, and participating in public outreach efforts including Town tours for school groups, civic groups, government agencies, scout groups, and others as requested.
  • Prepare and process purchase orders and claims, including verifying invoice services/charges, determining appropriate account numbers, completing forms, and submitting to the Clerk-Treasurer’s Department.
  • Effectively communicate orally and in writing, including the ability to listen to co-workers, Town Manager, Assistant Town Manager, Town Council, other Town Departments, other municipalities, contractors, vendors, and the public, including being sensitive to professional ethics, gender, cultural diversities, disabilities, and any other protected characteristic.
  • Respond to inquiries and complaints regarding various town related issues, and initiates action to resolve valid complaints/requests.
  • Maintain strict confidentiality regarding Town issues.
  • All other duties as assigned by Town Manager or his/her representative. This position will be subject to the rules, policies, and operating procedures established by the Town, as they may be amended from time to time.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty according to the requirements of the Town of Brownsburg. Education and/or Experience: An Associate's Degree in Business Administrator or related field; and three years of experience; or equivalent combination of education and experience is required. Previous experience working in municipal government is preferred. Previous experience working with C Suite Executives is preferred. 

Knowledge, Skills, and Abilities:

  • Ability to make practical application of standard bookkeeping principles, including making simple arithmetic calculations, and preparing invoices, as well as purchasing orders. 
  • Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions. 
  • Must have working knowledge of office procedures. 
  • Must have experience in Microsoft Word, Outlook, and Excel. 
  • Must have strong interpersonal skills and ability to communicate effectively in writing and verbally with all personnel and customers (residents) at a professional level. 
  • Must have and maintain a verifiable Indiana Driver’s License, a demonstrated safe driving record, and must remain insurable through the Town’s liability insurance carrier.
  • Working knowledge of standard English grammar, spelling, and punctuation and ability to prepare correspondence, reports, and other documents, and make public speaking presentations.
