Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant. As an Executive Assistant, you will provide administrative support to executives and ensure the smooth operation of the office. This is a full-time position with competitive pay.
Duties:
- Manage executive calendars, schedule appointments, and coordinate meetings
- Answer and direct phone calls with professionalism and excellent phone etiquette
- Greet visitors and provide exceptional front desk customer service
- Prepare and edit correspondence, communications, presentations, and other documents
- File and maintain documents, both physical and electronic
- Coordinate projects and ensure timely completion
- Provide personal assistant support to executives as needed
- Utilize Outlook Calendar and other software applications for scheduling and coordination
- Assist with phone systems and handle incoming calls as necessary
- Perform general clerical duties such as photocopying, faxing, mailing, and organizing files
- Utilize DocuSign or similar software for document signing
Qualifications:
- Proven experience as an executive assistant or in a similar role
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in all work performed
- Proficient in Google Workshop (Sheets, Pages, Slides)
- Ability to handle confidential information with discretion
- Exceptional communication skills, both written and verbal
- Strong problem-solving abilities and the ability to work independently
- Ability to multitask and adapt to changing priorities
