Development Coordinator
Job Purpose
The purpose of this job is to contribute directly to the success and operation of the Department of Development by:
  • processing all donations to the Thomas Jefferson Foundation and managing the entire process, from the opening of mail and the receipt of each gift, through production of acknowledgement letters for each gift, recording donor information and outreach to donors in our database, and reconciling totals with Accounting each month;
  • managing several operational processes for the Department, including managing supplies and office equipment such as printers and copiers, communicating office needs and problems to Buildings and Grounds, and coordinating building access and special needs with Security.
  • supporting other Department activities as needed, including assisting with special events, preparing for visitors to our office, and communicating with donors about special activities or needs.
Essential Functions
  • Process donations:
    • Process incoming mail: open, sort, scan, deposit gifts and enter gift data into the Raiser's Edge database.
    • Process and manage credit card donations.
    • Create new and update existing donor/organization records with gift information.
    • Assist with attaching $1k gift paperwork in NXT
    • Communicate with donors as needed about their gift status, ways to give, processing errors, etc.
    • Produce and send tax acknowledgement documentation (tax letters) for donors.
    • Produce tribute/honorary/memorial letters.
    • Perform Raiser's Edge batch committals and Accounting reconciliations.
  • Maintain donor records.
    • Record correspondence and outreach in donor records.
    • Generate bi-weekly gift reports and coordinate donor thank-you’s.
    • Assist with data hygiene projects as needed.
    • Collaborate with team members to audit donor tracking documents.
    • Cross-train to provide back-up assistance processing the President's donor thank-you letters when needed.
  • Manage several key Departmental operational processes.
    • Track office supplies and team needs, reordering as necessary.
    • Manage office equipment, including printers, copiers, letter-folding machines, and video communication equipment, understanding how to use all such equipment and managing the resolution of problems as they occur.
    • Identify maintenance and cleaning needs of the office building, coordinating with Buildings and Grounds, and tracking the resolution of issues and needs.
    • Be the point person for access-related issues, coordinating with Buildings and Grounds and with Security to resolve issues and secure needed features.
  • Assist with the production of donor communications as needed.
    • Assist in the production of materials such as letters, email communications, and the magazine Monticello, from both a writing and a data perspective.
    • Update donor acknowledgement letters annually.
    • Assist in updating and maintaining Development landing pages on the Foundation website.
    • Cross-train on scheduling special tours and other donor services.
Knowledge, Skills, and Abilities
  • Strong computer skills — keyboarding, Excel, Outlook, PowerPoint, Word, and databases. Experience with Blackbaud's Raiser's Edge preferred.
  • Strong organizational skills and attention to detail, particularly concerning numerical data and personal information.
  • Solid communication skills, both written and verbal.
  • Ability to work with confidential information appropriately.
  • Willingness to update Raiser's Edge skills by completing Blackbaud's digital trainings and exams.
  • Willingness to attend Monticello’s Guide Training to learn how to communicate difficult history as well as the Foundation's educational mission to donors.
Physical Demands and Work Considerations
  • Must be able to work in a busy office and in an occasionally stressful environment.
  • Must be able to work on the computer for extended amounts of time.
  • May need to lift boxes (under 30 lbs) and occasionally walk on steep or uneven surfaces on property.
Education
High school diploma required. College degree preferred.
