JOB SUMMARY

The Assistant Facilities Manager will work closely with the Associate Vice President (AVP) of Real Estate and Property Management to ensure the smooth operation of our facilities and support of the overall functionality of the organization. The Assistant Facilities Manager will have strong organizational and communication skills, a keen eye for detail, and the ability to handle various tasks simultaneously. The Assistant Facilities Manager will be responsible for supervising the facilities maintenance team; plan, develop and implement preventive maintenance programs for all buildings; and maintain very active and high-quality management of assets and property at muti-campus locations.

KEY RESPONSIBILITIES

  • Supervise grounds/property management team, including training to help raise team’s competence in maintenance technology.
  • Collaborate with vendors and contractors to ensure timely and cost-effective facility services.
  • Assist in managing facility budgets and expenses.
  • Coordinate and schedule maintenance activities.
  • With the assistance of a team, perform specially designated property and grounds projects, assist and lead grounds and maintenance activities that may include light carpentry, light plumbing, painting, etc.
  • Assist AVP of Real Estate and Property Management with defining bid specification documents for work to be performed by outside contractors.
  • Evaluate plans for existing buildings to ensure effective and efficient maintenance.
  • Maintain work order/ticketing system, prioritize needs and schedule projects.
  • Coordinate weekly, monthly or annual inspections and maintenance programs.
  • Ensure Safety Data Sheet (SDS) logs are kept current.
  • Review/renew existing vendor contracts with AVP of Real Estate and Property Management.
  • Assist AVP of Real Estate and Property Management with Safety First program for vehicles; monitor progress monthly.
  • Must be available for on-call coverage.
  • Check electronic/phone mail messages daily for repair requests.
  • Assist AVP of Real Estate and Property Management with updating operations manuals.
  • Interact daily with situations normal to residential program settings.
  • Stay informed about industry trends and best practices in facility management
Experience and Skills:

EDUCATION

  • Bachelor’s degree in Facilities Management, Business Administration, or a related field preferred. High school or equivalent required.

EXPERIENCE

  • Demonstrative ability in all facets of maintenance including plumbing, electrical, HVAC, carpentry, painting, landscaping, etc.
  • Five years of experience in facilities management or affiliated construction trade preferred.
  • Prior supervisory and training experience preferred.
  • Must have valid CT driver’s license, safe driving record and access to personal transportation.
  • Knowledge of OSHA regulations.
  • Ability to read building plans and blueprints.
  • Ability to work in a vigorously paced setting as a team leader.
  • General knowledge of computers - comfortable in a Microsoft Suite environment.
  • Basic accounting skills a plus.
  • Facilities, safety, and trade certifications (lead, asbestos, etc) are a plus.
  • Must be able to handle crisis situations in a calm manner.
  • Excellent organizational skills.
  • Ability to clearly communicate verbally and in writing.
  • Physically able to perform the essential functions of the position, with or without reasonable accommodation, and ability to lift and carry packages weighing up to 50 pounds.
