Job Summary:

The individual in this role serves as the Executive Assistant to the Chief Executive Officer or Chief Operating Officer and functions as an office facilitator / coordinator working with each department head.

Location: Onsite (Streetsboro, OH Headquarters)

Job Duties:

Executive Support:

  • Provide administrative support to the CEO or other executive team member as requested, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Handle correspondence, phone calls, and emails on behalf of executives, prioritizing and responding, as necessary.
  • Prepare and organize documents, presentations, and reports for meetings and presentations.
  • Facilitate communication between departments and team members, ensuring that information flows effectively throughout the organization.
  • Act as scribe for executive meetings, taking and distributing notes and documenting action plans.
  • Coordinates monthly Town Hall presentations working with presenters and outside sources compiling and proofing.
  • Prepares reports for consideration and presentation by executives, committees and Boards of Directors.
  • Participates in Step2 Leadership bi-weekly staff meetings and assists with off-site meetings, as requested; Maintains highly confidential and sensitive information.
  • Acts as a liaison with other departments and outside agencies; Represents the Company in interactions with local officials, State Representatives, Boards of Directors, high-level candidates, employees, etc. Attends Streetsboro Chamber events as the face of the Company.

Office Management:

  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient work environment.
  • Manage office supplies, equipment, and inventory, replenishing items as needed and coordinating maintenance and repairs.
  • Performs office duties such as ordering supplies, submitting expense reports, coding invoices, ordering lunches, planning agendas, scheduling meetings, etc 
  • Coordinates outside building needs such as flower planting in the Spring / Christmas wreaths in November
  • Coordinates inside building needs such as assisting with office moves and furniture requirements
  • Uses independent judgment to plan, prioritize and organize a diverse workload.
  • Develop and implement office policies and procedures to optimize efficiency and productivity.

Administrative Support:

  • Assist with various administrative tasks such as drafting correspondence, proofreading documents, and maintaining filing systems.
  • Coordinate special projects and events as assigned, including logistical planning and execution.
  • Oversees and handles contracts with office vendors such as Aramark (office coffee), Quench Thirst (water coolers throughout all buildings) Iron Mountain (off-site document storage) and Miracle Clean (office cleaning company)

  • Performs other duties and projects as assigned.

Qualifications and Experience Requirements:

  • Bachelor’s degree or equivalent work experience preferred.
  • Proven experience as an executive assistant or office manager, preferably in a fast-paced corporate environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Exceptional communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to interact effectively across different functions of the organization
  • Self-motivated, detail-oriented and ability to multi-task
  • Great interpersonal skills; ability to establish and maintain working relationships
  • Strong attention to detail and accuracy in all work performed.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to changing priorities and responsibilities.

Work Environment:

This position will perform most job duties in an office environment where using a computer, software applications, telephone, printer, etc. are essential.
