Summary The
Project Coordinator supports the mission of The Museum of Flight by overseeing the daily management and coordination of assigned projects and project management process. The Project Coordinator provides logistical and administrative support including meeting arrangement, progress tracking, and documentation. Working closely with the Project Manager, project team, and key stakeholders, this role helps keep the project team organized and on track through implementation to completion. Collaborating with multiple internal and external teams and departments, the Project Coordinator facilitates effective communication to ensure the successful execution of projects.

- Coordinate day-to-day operational aspects of projects, including planning and scheduling project meetings, documenting project progress, and serving as a central point of contact for the project team.
- Assist with developing and formalizing project requirements and scope, assigning resources, and monitoring tasks and project deadlines. Assess and determine project priorities with Project Manager and team.
- Coordinate complex calendars and project schedule; organize and schedule meetings, conference calls, teleconferences, and video calls; communicate calendar changes to those affected in a timely manner.
- Prepare, review, and edit documents such as meeting agendas, timelines, action summaries, proposals, reports, business correspondence, meeting minutes, memos, slides, communication, project plans, and other assigned documents, etc.
- Prepare and compile presentation documents and materials for the project team in advance of meetings; ensure project leader and team is prepared with key documents needed in advance of all meetings
- Prepare reports and presentations related to project activities, general project status, and financial updates for project sponsor(s) and stakeholders.
- Research topics needed for meeting preparation, special projects and/or key initiatives.
- Assist in communicating project scope, goals and responsibilities to project team, stakeholders, and other internal and external audiences.
- Assess and identify potential connections across projects and teams, leading to opportunities to collaborate or course correct, as needed.
- Responsible for material management which includes the organization of electronic and hardcopy resources; coordinate with others to ensure that project documents and materials are complete, current, and stored appropriately.

Qualifications Education & Experience - Bachelor's degree or equivalent experience in Communications, Project Management, or related field.
- Three (3) years' experience in managing and/or coordinating projects
- A combination of education and work experience that yields the minimally required knowledge, skills and abilities may be considered.
- Non-profit experience is a plus
Knowledge - Working knowledge of project management practice standards
- Knowledge and understanding of change management methods and application
- Knowledge of project scheduling, scoping, and forecasting best practices
- Knowledge of project management software such as Asana or Smartsheet, preferred
Skills - Proven experience building relationships and communicating with key stakeholders, including top organizational executives and decision makers
- Attention to detail and consistently accurate; resourceful with strong researching experience and capability; organized to shepherd and coordinate information from various sources; can implement and follow an effective follow up and check-up procedure
- Advanced verbal and written skills using different forms of media
- Proven interpersonal and customer service skills, for both internal and external customers at all levels.
- Demonstrated use of negotiation and conflict resolution skills
- Advanced organizational, filing, and planning skills
- Computer proficiency in Microsoft Office 365 including Word, Excel, PowerPoint, SharePoint, and Teams
Abilities - Able to coordinate simple projects from inception to implementation or delivery
- Ability to thrive in an environment with changing priorities; proven ability to manage a variety of tasks and activities simultaneously
- Ability to translate complex concepts to individuals at all levels; provides continuous proactive verbal and/or written status of updates of activity.
- Proven ability to set priorities, meet tight deadlines and multi-task with minimal supervision
- Proven ability to coordinate multiple activities quickly and efficiently
- Ability to work independently or as a member of the team who can navigate complex team dynamics successfully
- Ability to manage stress effectively in a fast-paced and changing environment and contribute to problem-solving
- Ability to quickly learn and fully support old and new systems, processes and procedures.
- Proven ability to maintain confidentiality and maintain a high degree of professional etiquette and decorum.
License & Certification - Certified Associate in Project Management (CAMP) or Professional in Project Management (PMP), preferred.

- This position works primarily Monday through Friday with flexibility for evening and variable hours based on Museum need.
- Occasional local travel may be expected.

Paid-Time Off Our paid time-off plans include 2 weeks of accrued sick leave and 2 weeks of vacation (80 hours each) per year, 10 paid holidays, and 2 floating holidays.
Compensation The hourly range for this position is $29.00 - $40.00depending on experience.
