The Mission Inn Hotel & Spa is currently seeking a Director of Purchasing

Job Overview:
The Director of Purchasing will develop purchasing strategies and oversee the purchasing and receiving team in their daily activities of sourcing suppliers, purchasing/receiving products, and services. They will manage and optimize the purchasing activities and ensure that inventory levels are properly maintained and controlled. This role will lead by example, be hands on, and uplift staff while ensuring the operation runs smoothly. Purchasing experience in a hotel setting is required.

Duties and Responsibilities:

▪ Manage and coordinate daily purchasing operations, including the planning of daily delivery schedules; proper distribution of products to departments; receipt of incoming product.

▪ Responsible for ensuring timely processing and follow-through of department deliverables.

▪ Model, motivate, train and coach subordinate staff to deliver superior service to internal guests and vendors, including establishing strong bonds with suppliers and vendors; creating strong relationships with other departments; collaborating with leaders across the organization to build a strong inventory and purchasing system.

▪ Control operational expenses and identify ways to mitigate loss, including managing ordering of supplies to established PAR levels; working with department leaders and executive team to establish appropriate PAR levels; negotiating contracts and lowest pricing; conducting monthly inventories; spot checks of departmental inventories; monitoring of purchasing system and ensuring that ordering is not done outside of approved inventory and PAR levels; inspection of product received to ensure quality standards and specifications; working with F&B leadership to ensure proper portion sizes; reconciliation of bills, and spoilage reports; conduct semi-annual cost analysis of all products.

▪ Ensure that the operation is adhering to proper safety, sanitation, health codes and cleanliness standards, including completing daily inspections for cleanliness standards; monitoring subordinate staff for adherence to County and State Health Codes; completing monthly detailed safety inspections; scheduling and executing weekly deep cleaning projects.

▪ Strategic planning with leadership team to control product procurement and quality of goods ordered; establish and control inventory ordering to planned events; assist with food costing and menu costing; prepare cost analysis and bid proposals; work with executive team to establish appropriate policies and procedures for purchasing and receiving.

▪ Establish performance standards in conjunction with Director of Finance, Human Resources and General Manager, including training programs; complete annual performance appraisals; coach, and recognize employees in the moment for performance; ensure consistency in policy implementation and adherence; complete observations; deliver corrective actions when performance dictates it is needed.

▪ Understand, monitor, and create reporting metrics to drive maximum results, including reviewing and adjusting to monthly P&L statements; maintain monthly records of requisitions and transfers of all products; complete monthly accounting reports and journal entries; provide weekly updates of purchases, food costs to General Manager.

▪ Administer the inventory control system, including assigning log ins/credentials; training of staff on proper usage of system; maintain supplier database and related contracts.

▪ Ensure proper security of inventory and storefronts.

▪ Recruiting and retaining high quality talent, including hiring the most qualified candidates; consistent and on-going training of staff; set standards and accountability for performance.

Qualifications and Requirements:

▪ Proven track record and work experience as Purchasing Director or similar role for a minimum of five years within a hotel setting.

▪ Extensive knowledge of federal, state, and local regulations regarding purchasing and supply chain management.

▪ Deep knowledge of inventory management, inventory control and supply chain management.

▪ Strong planning, critical thinking, organization, and negotiation skills

▪ Communication skills and the ability to establish and maintain interpersonal relationships.

▪ Conflict resolution skills and the ability to coach, and influence others.

▪ Problem solving, able to think out of the box and make strong business decisions.

▪ Ability to build, lead and motivate a team to achieve high results.

▪ Acute financial management skills.

▪ BS degree in business administration, accounting measures or hospitality management is strongly preferred.
