What you will be doing
The Staff Accountant will maintain accurate records, including accounts payable, accounts receivable, general ledger entries, bank deposits, monitoring credit card activity, for the Catholic Pastoral Center. Perform administrative and other tasks as needed including monitoring and tracking equipment inventory, as well as parish bookkeeping for approximately five parishes within the Diocese of Pueblo.

Essential Duties:

Manages Accounts Payable

  • Reviews and enters bills into accounting software ensuring accuracy (coding, validate charges and vendor information, duplications, obtain approvals, print batch report), prints and mails checks, obtain signatures in a timely manner.
  • Maintain filing, record retention, reports of bills, checks, invoices, tax reports, and other financial documents.
  • Process end of year reporting, create 1099 NEC, and 1096 NEC.
  • Ensures accuracy of journal entries.

Manages Accounts Receivable

  • Create monthly invoices and statements, and enter payments made by parishes, schools, and business partners.
  • Research payments, monitor aged accounts, print aged accounting report on a regular basis.
  • Reviews credit card statements and receipts, codes, and prepares payment for CPC staff.
  • Reviews, codes, and records deposits using accounting software and prepares support for bank reconciliation.
  • Ensures accuracy of journal entries.

Advancing Mission Discipleship (AMD)

  • Ensures overall accuracy of payments, deposits and financial reporting of annual assessment imposed on parishes is utilized to support the administrative function of the Catholic Pastoral Center. Including current and past annual assessments.
  • Reviews, codes, and records payments and deposits using accounting software and prepares support for bank reconciliation.
  • Maintains tracking sheet of ongoing payments.
  • Prepares monthly invoices and monthly statements.
  • Answers general inquiries from parishes.
  • Ad hoc research of payments.
  • Prepares monthly aged reports.

Prepare Tax Exempt Forms

  • Review city tax exempt forms for accuracy of parishes, schools, and entities.
  • Prepares billing for tax exemption and disseminates parishes, schools, and entities.
  • Collects and monitors tax payments, process and deposit payments, record into accounting software.

Parish Bookkeeping

  • Responsible for supporting 5 parishes with basic bookkeeping needs such as AP/AR, bank reconciliation, preparation of monthly, quarterly and/or annual financial reports.

Maintain Equipment Inventory

  • Create and maintains a list of all Catholic Pastoral Center (CPC) office furnishings, software, and fixed equipment in accordance with policy.

Grants

  • Deposits grant awards.
  • Ensures grant award allocated and coded in accounting software to appropriate department.
  • Ad hoc research on use of funds.
  • Provides reports and details for annual grant management report.

Donations

  • Weekly review of “On-Line Giving” identifying unrestricted and restricted donations.
  • Ensures donation is allocated and coded in accounting software to appropriate department.
  • Prepares transaction report for bank transfer.
  • Completes journal entries into the general ledger, ensuring accuracy.
  • Provides end of quarter reporting.

Filing

  • Responsible for department filing system ensuring files and documents are organized and accessible. i.e. include bills, parish information, contracts, city tax exemption, insurance ledger pages, and other related filing.
  • Maintain copies of minutes, agendas, and appointment letters for Finance Advisory Committee (FAC) meetings.
  • Responsible for ongoing file management, labeling, storage, and retention in accordance with records retention schedule.

Payroll

  • Serves as backup for payroll needs in answering general inquiries or processing payroll in the absence of Payroll Specialist.

Education and Experience:

  • Associate degree in accounting, economics, mathematics, accounting or personal finances or equivalent experience. Bachelor’s degree preferred.
  • 3-5 years of working knowledge with accounts receivable, accounts payable, Generally Accepted Accounting
  • Principles (GAAP).
  • Payroll experience preferred.

Knowledge Skills Abilities:

  • Ability to apply Generally Accepted Accounting Principles (GAAP) in day-to-day work.
  • Proficiency in Microsoft Office including Word and Excel.
  • Strong written and verbal communication skills.
  • Ability to meet deadlines.
  • Strong time management skills.
  • Ability to prioritize, plan, organize and work effectively.
  • Ability to ensure data entry is accurate.
  • Proficiency with 10-key typing and data entry.
  • Maintain confidentiality of highly sensitive information.

Supervisory Responsibility:

  • There are no supervisory responsibilities for this position.

Work Environment and Required Activities:

  • This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • While performing the duties of this job, the employee will work in an open office space. The noise level is quiet.
  • While performing the duties of this job, the employee is regularly required to sit for extended periods of time, use hands in repetitive motion tasks, handle objects and talk or hear.
  • The employee is occasionally required to stand or move about and reach with hands and arms.
  • The employee must frequently lift and/or move up to ten pounds.
  • Vision abilities required include close vision, depth perception and ability to adjust focus.
  • Ability to read and analyze financial documents.

Other Requirements:

  • Must be a practicing Roman Catholic in good standing and in full communion with the Church.
  • Must pass a criminal background investigation.
  • Must have good driving record, current Colorado Driver’s License, and automobile insurance.
