Position Overview: We are seeking a dynamic and organized Administrative Assistant to provide comprehensive support to the Executive Director, Associate Executive Director, and the administrative department of The Argyle Assisted Living Community. This role is crucial in ensuring efficient operations and facilitating effective communication within the organization. The ideal candidate will be proactive, detail-oriented, and capable of handling multiple tasks simultaneously in a fast-paced environment.
Responsibilities
  • Act as the primary point of contact for the Executive Director and Associate Executive Director, managing their calendars, scheduling appointments, and coordinating meetings.
  • Prepare and distribute correspondence, reports, and presentations on behalf of the Executive Director and Associate Executive Director.
  • Maintain confidential records and files, including resident information, staff documents, and financial records upon request.
  • Assist with administrative tasks such as answering phones, responding to emails, and managing office supplies.
  • Coordinate special events, meetings, and community activities, including logistics, catering, and attendee arrangements.
  • Collaborate with department heads and staff members to ensure timely completion of tasks and projects.
  • Conduct research and compile data as needed to support decision-making processes.
  • Serve as a liaison between the Executive Director, Associate Executive Director, staff members, residents, and their families.
  • Uphold a professional and welcoming atmosphere in all interactions with residents, visitors, and staff members.
  • Adhere to all company policies, procedures, and regulations to maintain compliance and uphold the highest standards of quality and ethics.
Qualifications
  • Bachelor's degree in business administration, healthcare administration, or related field preferred.
  • Proven experience as an administrative assistant or similar role, preferably in a healthcare or senior living setting.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Flexibility to adapt to changing priorities and work independently or as part of a team.
  • Compassionate nature and genuine interest in serving the needs of seniors and their families.
