Texas Campaign for the Environment is Hiring an Administrative Director Near Austin, TX

Texas Campaign for the Environment Fund (TCE Fund) and its sister organization, Texas Campaign for the Environment (TCE) are seeking an Administrative Director, experienced in finance, operations and human resources.

Summary

The Administrative Director is responsible for the finance and administrative needs of 20 staff, located in three offices across the state (Austin headquarters, Corpus Christi, and Houston). They are responsible for overseeing and directing the bookkeeping firm on both accounts payable and receivable, with revenue streams in c3 and c4 and political action committee (PAC) entities. They will have primary responsibility for annual budgeting, and working with the bookkeeping and accounting firms on audits, and 990s for all entities. They will oversee leases, equipment, contracts and supervise the Human Resources Manager.

Location

Must be based in the Austin metro area and willing to commute to regional offices as needed. This is a hybrid role that will include work from home, and 60% in-office expectations. Occasional travel will be expected within the state of Texas, and potentially some travel outside of Texas.

Major functions and responsibilities:

Finance

  • Maintain and Track Financials – Review & maintain chart of accounts. Daily deposits. Invoicing for accounts receivable and payable (e.g. Bill.com). Handling reimbursement requests. Control & maintenance of corporate credit cards (via Ramp). Regular internal transfers between c3, c4 and PAC entities. Monthly credit card and bank account reconciliations. Keep and adhere to our accounting calendar. Use QuickBooks Online to oversee accounts. Manage the relationship with our bookkeeper.
  • Budget – Annual budget planning, based on previous data. Primary responsibility for assembling cross-departmental, multi-entity budget, including spending proposals and explanations to the Board of Directors.
  • Audits – Oversee the preparation of annual audits, audit reports, and IRS 990 tax filings with support from bookkeeper and external accountant firm for Executive Director and Board of Directors to review and approve.
  • Prepare financial information for reports to foundations and other funders, as well as organizations that are fiscally sponsored by TCE Fund.
  • Prepare political contribution and expenditure reports for submission.
  • Manage the use of organization credit cards by team members.

Administration

  • Equipment – Primary responsibility for researching and purchasing equipment, including computer hardware & software. Main contact for vendor contracts and payments. Disposition and distribution of excess equipment.
  • Leases – Handle all lease and contract renewals and shopping/researching alternatives.
  • Administration – Maintain office records, both physical & electronic (via Google Shared Workspace). Update and implement document retention policies.
  • Contracts - Review contracts and manage relationships with external vendors.

Management

  • Oversee Human Resources Manager who will be responsible for tasks including working with bookkeepers on payroll: reimbursements for staff: benefits management; implementation of the staff union contract; Texas Workforce Commission and other human resource governmental filings.

Other Duties

  • Other duties as needed, including participation in annual fundraiser (Trash Makeover Challenge) etc.


Qualifications and core competencies:

  • Five to seven years of proven experience in office administration with a preference for nonprofit organizations.
  • Understanding of 501(c)(3) and 501(c)(4) IRS guidelines.
  • Experience with Quickbooks Online.
  • Experience in staff management.
  • Outstanding verbal, public speaking, and written communication skills.
  • Demonstrated commitment to diversity, equity, and inclusion principles.
  • Proficiency with QuickBooks Online, MS Office, and Google Shared Workspace. Other proficiencies such as constituent relations management software, digital advocacy tools, project management platforms, graphic design (Adobe Creative Suite and Canva), and/or voter databases are preferred but not required.
  • Ability to quickly analyze and synthesize complex information.
  • A keen eye for detail.
  • Spanish speaking and writing skills are a plus.
  • Experience with union negotiations and contract implementation is a plus.
  • Previous experience with PAC reporting is a plus.

Compensation

Annual salary range $75,000-85,000, commensurate with experience. Benefits package includes insurance coverage (medical/dental/vision, with partial employer payment) and an HSA account with employer contributions, paid time off and flex/comp time, paid holidays, retirement plan with employer matching contribution.
