Job Overview:
TeamPHCA is actively seeking an experienced and results-oriented Administrator to oversee and optimize our internal processes. As the Administrator, you will be responsible for managing the social services program, leading teams of professionals, and ensuring efficient coordination of activities to meet the needs of the individuals, ensure compliance and drive business growth. The ideal candidate will have a proven track record in prospecting to include the ability to add referrals, client success, human resources, quality assurance, marketing, recruiting, program implementation and social/community impact.

Key Responsibilities:

Prospecting and Outreach:

  • Prospecting and generating new outbound leads with a daily outreach that should target a minimum 400 calls per week/ relationship building per PC.
  • Led efforts to attract and nurture a goal to add a minimum of 900 new clients to join the agency within a year

Client Education and Program Implementation:

  • Educate prospective clients/individuals about the various services available, providing comprehensive knowledge and understanding of the program.
  • Collaborate with case managers to assess client needs, exchange valuable insights, and ensure a successful handoff of clients from PC to CM.
  • Ensure progress notes reflect outcome action plans
  • Ensure staff and consultants' KPI Performance
  • Ensure execution of services to include extensive knowledge of 6100, 6400, 2380 regulations, ISP Implementation, ISP Manual and calculation of units

Marketing and Promotion:

  • Design and implement cross-functional marketing tools, boosting enrollment staff and client rates
  • Utilize platforms to track prospective activity, update information, and maintain accurate records of interactions and opportunities.

Team Leadership and Training:

  • Supervise and train all ID/A Coordinators, Operation Managers, Board of Directors, Schedulers, Recruiters, Supervisors, Leads, Human Resources, Case Managers.
  • Oversee supervision of Direct Support Professionals.
  • Conduct coaching, retraining, and removal of staff for program procedures (terminate).
  • Conduct Performance Evaluations

Recruitment/HR/Billing:

  • Hire, interview and train upper and lower level positions.
  • Reconcile all billing to include denials and rejections, ensure proper submission
  • Oversee supervision for recruitment/HR/billing and all international staff
  • Conduct Performance Evaluations

Quality Assurance and Reporting:

  • Ensure compliance with all ODP requirements as a Provider.
  • Run and track reports on growth metrics weekly to report for quarterly usage.
  • Submit/Request new service lines of business through AE/ODP.
  • Facilitate all investigations as an ODP Certified Investigator.
  • Enter all incidents in the HCSIS EIM system.
  • Conduct Audits with all relevant entities to include city, local, state and federal entities

Community Events and Stakeholder Engagement:

  • Facilitate and plan all community, recruitment, resource fair and marketing events.
  • Represent the company at county meetings and stakeholder engagements to include community resource events alongside of the Board of Directors. Must have evening, weekend, day and on-call availability as needed.

Investigations and Incident Reporting:

  • Facilitate all investigations as an ODP Certified Investigator.
  • Enter all incidents in the HCSIS EIM system.

Requirements:

  • Bachelor's degree in Business Administration, Healthcare, Social Work or related field.
  • Proven experience in operations management, business development, or related roles.
  • Strong leadership and team management skills.
  • Exceptional communication and interpersonal abilities.
  • Familiarity with ODP requirements and compliance.
  • Proficiency in CRM systems, Google Suite and Microsoft Office Suite.
  • Ability to thrive in a fast-paced and dynamic environment.

Qualifications
