Tate Civil Construction is Hiring an Office Administrative Assistant Near Glenwood, CO

**This job is remote but can be in our office if you choose. Candidates must reside in the Roaring Fork Valley. If your local location is not posted on your resume or profile, you will not be considered. **

We are seeking a capable and detail-oriented Administrative Assistant to join our team remotely or in-person (of your choosing). The ideal candidate will provide crucial administrative support to our multiple companies in Construction, Interior Design, and Vacation Rental Management. This position requires flexibility, excellent organizational skills, and proficiency in various digital tools.

The ideal candidate will be a hard-working and organized professional, capable of multitasking and troubleshooting as unexpected problems arise. They will excel in attention to detail and work independently, incorporating new and effective methods to achieve better results.

This is a part-time position of 20-25 hours per week, with most working hours Monday through Friday, offering flexibility.

Responsibilities:

  • Assist with administrative tasks for multiple companies, including data entry, scheduling, and document management
  • Maintain and organize digital files, correspondences, and project documentation
  • Manage communication with internal and external stakeholders (tenants, clients and guests) via email, phone, and other communication tools
  • Coordinate tasks and projects across different departments and teams
  • Provide support in organizing meetings, preparing agendas, and taking meeting minutes
  • Assist in maintaining databases and spreadsheets with accurate and updated information
  • Handle general office duties such as filing, copying, and other administrative tasks as needed
  • Run errands, such as picking up and dropping off samples, purchasing supplies, and handling other miscellaneous tasks outside the office when required
  • Support human resources functions, including employee information tracking, onboarding, offboarding, and job postings

Work Arrangement:

This position is primarily remote, with the flexibility to work from home. However, there may be occasional in-person work required, such as attending team meetings, visiting job sites, or handling errands that cannot be done remotely. Work hours are flexible, but a majority will be done between normal business hours Monday through Friday.

Requirements:

  • Proficiency in Microsoft Suite, G-Suite, and other relevant digital tools
  • Proven ability to multi-task, prioritize tasks effectively, and maintain excellent organizational skills
  • Strong computer skills and exceptional communication abilities, both written and verbal
  • Flexibility to work with multiple companies in the Construction and Property Management sectors
  • Must reside in the Roaring Fork Valley
  • Proven experience as Office Manager, Administrative Assistant
  • Three to five years of experience in related field
  • Knowledge of office administrator responsibilities, systems and procedures
  • High school degree
