Our client, a global leader in the sales and distribution of musical instruments, is hiring a thorough and supportive Accounts Receivable Administrator with experience managing vendor accounts and ensuring timely collections of outstanding balances. Reporting to the Senior Credit Supervisor, the AR Administrator will perform vital administrative and record-keeping tasks, including invoicing, billing, and collections activities for the receivables within the credit department. Our ideal candidate has a strong work ethic, is collaborative, and will provide excellent customer service to the internal team and external customers.

Day-to-Day as Accounts Receivable Administrator:

• Update new and existing accounts with vital departmental information.
• Process credit card payments, post-credits, and invoices promptly.
• Upload billing, letters, and forms daily to WebDocs.
• Collect copies of requested documents.
• Obtain credit approvals from vendors.
• Perform necessary collection calls and maintain positive vendor relationships.
• Collaborate closely with the credit team to ensure accurate billing.
• Cultivate and maintain positive working relationships with other departments.
• Following departmental procedures, ensure billings are processed promptly.
• Reconcile and monitor accounts while processing necessary adjustments.
• Email monthly statements in a timely fashion.
• Diligently investigate and resolve billing discrepancies.
• Update and maintain aging reports following credit and collections processes and KPIs.
• Perform any additional duties as required or assigned to ensure smooth operations.

What You Bring:

• 2 years of hands-on accounting experience in receivables.
• Bachelor's degree in accounting or finance from an accredited college or university is preferred.
• Solid grasp of fundamental principles of finance and accounting.
• Familiarity with ERP and accounting systems (MS Navision or Dynamics ideal).
• Proficiency in Excel
• Strong multi-tasking skills with the ability to prioritize tasks and meet deadlines.
• Proactive, self-starter attitude with the ability to work independently and collaboratively in a fast-paced environment.
• Excellent analytical, organizational, and communication skills, both written and verbal.
• Cheerful demeanor, especially when engaging in collections activities.
• Willingness to work in-office in Los Angeles, CA 1-2x monthly.
