ASSISTANT PROPERTY MANAGER (APM)

COMMERCIAL OFFICE REAL ESTATE ~ Financial District, San Francisco, CA

Position Responsibilities:

As a key member of the team using your amazing talents, you will be the “go-to person” for Swift’s tenants and vendors, and supporting the GM of our downtown San Francisco assets in managing the day-to-day property operations to ensure things run smoothly and efficiently.

Your talents will include but will not be limited to the following:

ESSENTIAL DUTIES AND RESPONSIBILITIES

Property Office Management:

  • Meeting and greeting visitors using your outstanding customer service skills
  • Answering and directing calls
  • Ordering office supplies
  • Ensuring office equipment is operating properly
  • Updating directories as needed
  • Right-hand support to the General Manager to assist with special tasks

Tenant and Vendor Responsibilities:

  • Maintaining vendor and tenant contact lists; emergency contact lists and other miscellaneous records and files to ensure they are current and well-organized
  • Retain vendor and tenant insurance certificates for all assets up to date and current
  • Conduct property inspections and identify any maintenance or repair issues and notify appropriate party of needed repairs, confirm work is completed and payment processed accordingly.
  • Direct and oversee building maintenance activities such as janitorial, security, landscaping, pest control, and building access system.
  • Coordinate tenant events: tenant move-in’s and move-out’s; orient new tenants on building policies and procedures
  • Processing building and tenant maintenance requests using our MRI/Angus platform
  • Respond to tenant issues, call, and request and report to General Manager any escalated issues
  • Request proposals from vendor and prepare contracts when projects are approved.
  • Review daily security reports and promptly handle any issues requiring follow-up including notifying the property team when their involvement is needed.

Accounting Support:

  • Process monthly invoices in Payscan for manager approval for all assets
  • Prepare monthly accruals and reclassifications
  • Assist in preparing the Monthly Operating Report
  • Send monthly billing statements to tenants
  • Review monthly AR report and contact tenants in default
  • Support the GM in gathering proposals for property budgets

General:

  • Prepare insurance claim reports to submit to insurance brokers per owners protocol

The Ideal Candidate Will Possess The Following:

The ideal candidate will have a minimum of 5 years’ prior experience as an APM; excellent communication, and organization skills with a professional yes-can-do attitude; and strong proficiency in MS Office Suite.

A college degree and former experience working for a commercial office real estate company is preferred.
