Description

Full Time: Monday-Friday

The primary responsibility of the Executive Assistant is to assist the Executive Director, Human Resources, Marketing & leadership team with various administrative services.

Qualifications:

  • Four or more years related experience.
  • Strong verbal/written communication skills and phone etiquette.
  • Able to multi-task while remaining highly organized and detail-oriented. Strong time management skills. 
  • Able to work with confidential information and maintain strict confidentiality. 
  • Current Notary Public in the Commonwealth of Virginia or able to obtain. 
  • Efficient use of computer and office equipment; ability to learn new and changing software applications as well as assist others in their use. 
  • Able to use all Microsoft Office (Word, Excel, Publisher, PowerPoint) products.
  • Strong customer service skills; maintain a hospitality approach when engaging all individuals. 

Requirements

  • Assist Executive Director with administrative assistance, answering phone, taking messages, filing, scanning and faxing documents, drafting correspondence, calendar management and scheduling timely and accurately.
  • Provide support to Marketing, Life Enrichment, Wellness, Human Resources and other departments as requested by Executive Director.
  • Manage & organize all sitter/companion files; keep updated contracts for all & conduct orientation for new sitters/companions starting on campus. 
  • Completing the monthly news letters for Residents, staff and Trailblazers. 
  • Serve as the recording secretary for Resident Advisory Council; organizing & attending quarterly meetings and accurately/promptly producing minutes for record keeping.
  • Maintain King’s Grant policies by scheduling annual review – editing current policies and typing up new policies, when needed. Ensure policies and procedure manual is up to date on paper and on intranet.
  • Manage Contract Book ensuring all contracts, liability insurance certificates and vendor licenses are valid.
  • Serve as liaison between residents/families for questions in a timely manner.
  • Ability to use computer accounting information system, including but not limited to ten key adding machine and other related office/accounting machines.
  • Ability to comprehend and perform operational tasks listed with limited amount of supervision. 
  • Makes badges and assigns parking passes for new employees, volunteers, contractors and upon request creates replacement badges for current employees. 
  • Distributes all necessary reports to departments & posts/distributes all announcements monthly. 
  • Works with Central Supply to maintain office supplies and coordinates the ordering process for Administration.
  • Provides support for employee event logistics: scheduling, planning, coordination, ordering of food or supplies. 
  • Provide support to IL Life Enrichment Coordinator & Wellness teams when needed. 
  • Other duties as assigned.
