The Administrative Assistant is responsible for the front office reception area, including greeting guests, answering the phone, company inquiries, sorting and distributing mail, and performing various administrative tasks.
§ Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
§ Monitor security at front door by following procedures and enforcing logbook use.
§ Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
§ Maintains safe and clean reception area by complying with procedures, rules, and regulations.
§ Prepares outgoing mail; sorts and distributes incoming mail.
§ Composes, types and edits correspondence, reports, memoranda, and other material.
§ Order office supplies and maintain inventory.
§ Maintain and schedule conference rooms.
§ Arrange and coordinate internal and external meetings and events.
§ Order lunches and set up for various meetings, as needed.
§ Use Concur to complete executive expense reports monthly.
§ Scan/Copy various documents to support the accounting department.
§ Assist Human Resources Manager with company initiatives.
§ Assist with travel, administrative support, and expense reporting.
§ Perform research projects on various subjects, as needed.
§ Other duties as assigned.
§ High school diploma or GED equivalent required
§ Specialized course work in general office practices such as typing, filing, accounting and bookkeeping, preferred
§ Intermediate skill level in Word, Excel and PowerPoint, preferred
§ Strong communication skills
§ Customer service focused
§ Ethical conduct
§ Strong time management
