Job Responsibilities

With our Agency's mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.

This position is located at the Department of Mental Health, Central Office, 2414 Bull Street, Columbia, SC 29201.
As the Administrative Coordinator II, working under limited supervision, you will coordinate, plan, and organize administrative functions for the General Counsel and the Office of General Counsel (OGC) Division, which includes the Legal Team, Risk Management, Patient Advocacy, Public Affairs, Office of Cultural Affairs, and Public Safety. You will assist the General Counsel in the day-to-day operations, communications, and reports to improve organizational effectiveness. You will prepare correspondence, maintain, and prepare reports, records, and files. You will receive inquiries from DMH Hospitals, Mental Health Centers, and Administration and coordinates follow-up with appropriate legal or OGC staff. You will manage calendars and schedule meetings as needed.
Responsibilities for this Administrative Coordinator II include but are not limited to:
  • Receives and logs all incoming legal documents such as complaints, subpoenas, pleadings, and discovery requests and refers to appropriate attorney. Opens litigation cases and maintains and updates the OGC's Litigation Report. Receive calls from DMH staff, judges, solicitors, defense counsel, law enforcement, and other stakeholders. Responds to calls as much as possible and route to the appropriate party as necessary. Many calls and requests will require the ability to review electronic patient records to identify a response or a responding party.
  • Plans, coordinates and performs diverse and complex administrative activities for the OGC. Manage complex appointments and work calendar for the General Counsel and the OGC area requiring the ability to de-conflict calendars and rearrange as necessary. Brief the General Counsel regarding upcoming meetings and the relevant information prior to scheduling.
  • Maintains, updates, and distributes documentation related to insurance coverage for SCDMH physicians. Communicates requests for insurance certificates and other information to the Insurance Reserve Fund (IRF). Alert the IRF and prepaid legal services regarding litigation and billing for the same. Maintains liability and bond coverage as needed. On a monthly basis, reconciles DMH professionals covered by the agency's insurance policy.
  • Serves as the HR liaison for OGC preparing all HR paperwork and justification memos. Maintains HR field folders for each employee. Enters working time for temporary employees.
  • Creates shopping carts in SCEIS for OGC. Maintains SCDMH Procurement regulations and guidelines and orders supplies and resources for OGC. Reviews encumbrance reports for accuracy and amend inaccuracies. Maintains office supplies and the office biz hub. Prepares vouchers, requisitions, and makes travel arrangements as needed for OGC staff. Assists with employee reimbursement for travel and with the fleet reservation system.
  • Provides back-up coverage for Administrative Coordinator in State Director's Office. Provides, along with other Administrative Coordinators in Central Office, for phone back-up coverage for the main line for DMH.
Minimum and Additional Requirements

A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.
Preferred Qualifications

Bilingual abilities in English and Spanish (or another language) are a plus.
