State of Missouri is Hiring a Professional Assistant - Office of the Director Near Jefferson City, MO

The Missouri Dept of Agriculture is looking for a professional assistant to join our team in the Office of the Director. This individual will work closely with our legal counsel and other administrative functions. Serving as the first point of contact and a representative of the department in interacting with the public, attorneys, and other government agencies by responding to inquiries and complaints.

TITLE: Professional Assistant - Office of the Director

LOCATION: Jefferson City, MO

SALARY: $35,000 - $38,000 annually

WORK HOURS: Monday - Friday 8am - 5pm

What You’ll Do:

  • Organizing documents, information, and deadlines relating to pending litigation, administrative proceedings, enforcement actions, and other legal actions and issues
  • Processing Sunshine Law and discovery requests, including gathering documents, providing guidance on the scope of the request, and providing timely responses to requesters
  • Review requests and prioritize needs for office staff
  • Organizing and maintaining files and records
  • Providing help with research, correspondence, or other legal tasks requested by the general counsel
  • Conducting necessary research to provide information, answers, and guidance to staff and the general public
  • Assist staff with grant tracking, evaluation, and related research
  • Assist with department projects within Office of the Director
  • Communicating legal issues; explaining policies, procedures, and regulations; resolving problems; and receiving and disseminating directives
  • Ability to work with a high degree of independent judgement, confidentiality, integrity, and discretion
  • Scheduling and planning meetings and conference calls; preparing agendas, documents, and presentations; making travel and conference arrangements; and assisting with a variety of special projects
  • Review incoming correspondence, screen calls, and assist visitors
  • Coordinate general functions of the Office of the Director such as supplies

Minimum Qualifications:

Four(4) or more years of office or related clerical/administrative assistant experience; AND

Possession of a High School Diploma or GED Equivalence

Preferred Qualifications:

  • Self-starter
  • Dependable
  • Above average written and oral communication skills
  • Good time management skills
  • Critical thinking and problem-solving ability
  • Legal secretarial or paralegal background preferred
