Your Specific Responsibilities:

This career service position will perform duties associated with the We Care Network, a private/public partnership providing volunteer health care services to low income, uninsured residents. Duties include the following:

Assist director with all program related activities as assigned, including clerical support (filing, faxing, copying, etc.), staff meeting agendas & minutes.

Input client referrals, initiate, and implement internal procedures for contacting, tracking, scheduling client appointments, closing cases, reporting status to referral site, etc.

Develop, initiate, and maintain office organizing strategies, including office calendar, annual leave, client and personnel records, filing systems, and inventories (office supplies, office forms, etc.).

Complete and track program purchases following DOH ACHD internal guidelines.

Responsible for securing the designated information set for the purposes of protecting confidentiality, data integrity, and appropriate access, for all information, both confidential and public record, which is stored in hard copy or electronic formats.

Verify client eligibility for volunteer professional services with Network providers.

Coordinate continuing education credit process for CMEs and CEUs for volunteer physicians, dentists, and other providers as appropriate.

Assist director by scheduling client appointments with the We Care providers as assigned.

Assist Assistant Director in operation of Florida Breast and Cervical Cancer Early Detection Program (FBCCEDP) following program IOP. Responsibilities will include:

1. Processing completed FBCCEDP applications, submitting to the regional office and uploading to the HMS client electronic record.

2. Scheduling FBCCEDP client appointments, including, but not limited to, clinical visits, mammograms, and biopsies.

3. Documenting all program activities following documented FBCCEDP procedure.

Assist case managers with phone calls and general office duties.

Assist with dental clinic and/or other activities that may require evening and/or weekend hours.

Required Knowledge, Skills, and Abilities:

Knowledge of general office procedures, devices (fax & copy machines, etc.) and practices. Knowledge of Microsoft computer software, including Word, Excel, Outlook, and PowerPoint. Ability to follow verbal and written instructions and review work for accuracy. General knowledge of community agencies and services. Ability to effectively communicate with professionals and public. Ability to establish and maintain effective professional working relationships with others. Ability to manage a multi-line telecommunications system.

Qualifications:

Minimum –  Associated Degree.

Valid Driver’s License.

Experience working in an office setting.

Preferred - Knowledge of and experience with databases, EMRs, and EHRs.

Master's degree in a public health or social services related field.
